Corporate Receptionist

The Receptionist provides general office support through a variety of clerical activities and related tasks. This includes, but is not limited to, being responsible for answering all incoming calls, directing calls to appropriate team members, and mail distribution, as well as additional clerical duties. The Receptionist will report directly to the Executive Assistant to the CEO/CFO.

Essential Functions

Answers incoming calls to the company’s multiple lines and directs the caller to the appropriate team member or voicemail in a timely manner
Provides callers with general information such as company address, directions to the company location, company fax numbers, company website and other related information
Greets and directs visitors to the company, offering hospitality and making them feel welcome
Maintains a tidy and welcoming reception area
Takes messages for various team members
Provides invoice data entry and coding support for the IT department
Receives, sorts, and forwards incoming mail to the appropriate department or team member
Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
Assists in ordering, receiving, stocking, and distributing office supplies
Assists with other related clerical duties such as photocopying, faxing, filing, and collating
Supports Office Administrator with duties as assigned
Regular attendance as required by the SSP Attendance Policy
Other related duties as needed or as assigned by manager
High School Diploma or equivalent is highly preferred
Previous experience as a receptionist or related position is preferred
Proficient in Microsoft Office, including Outlook, Excel, Word and PowerPoint
Proven ability to deliver superior customer service
Excellent verbal and written communication skills
Strong interpersonal skills, attention to detail, follow-up skills, problem solving, and time management skills, with ability to meet deadlines and change priorities frequently
Ability to communicate enthusiasm, empathy, and a genuine desire to serve the needs of clients, both over the telephone and in person
Demonstrated ability to work both independently and among cross-functional teams with minimal supervision; ability to juggle multiple tasks while adapting quickly to change, and effectively prioritize assigned job duties to meet deadlines and objectives
Excellent organizational skills to effectively and timely complete assigned tasks and projects as assigned
Ability to handle conflict, work under pressure, deal with stressful scenarios, and resolve uncomfortable situations with clients, customers, and peers
Ability to learn and utilize office equipment, such as telephones, copiers, postage machine, etc.
Pro-active, self-starter with good judgment who takes ownership of responsibilities
Dynamic and positive attitude to support our culture and work environment and foster positive working relationships with others in the organization
