Executive Assistant

Dstillery is currently looking for an experienced Executive Assistant to join our dynamic team! The Executive Assistant will provide administrative support across all departmental functions and for the coordination of the overall office maintenance of the organization. In addition, they Executive Assistant will be responsible for serving visitors by greeting, welcoming and directing them appropriately, notifying company personnel of visitor arrival and maintaining security. The Executive Assistant will work closely with the executive team and the HR & Facilities Manager as well as support other team leaders on various projects as assigned.

  • Manage front desk operations by greeting visitors, answering visitor inquiries, directing visitors to appropriate contacts and providing excellent customer service to all visitors and staff
  • Performing office and administrative duties to assist executive team
  • Comfortable performing clerical duties, taking memos, organizing documents, photocopying, collating, mailings/packages
  • Arranges travel, accommodation, itineraries, and all correspondence related to arrangements as needed
  • Plans/organizes and implements events such as meetings, business luncheons, or client dinners
  • Organize and process Executives’ expenses in Dstillery’s expense management program
  • Handles confidential information; organizes and maintains files.
  • Assist with opening and closing of the office
  • Ensure office supply levels are properly managed including ordering supplies, managing inventory and issuing supplies to the various departments/individuals
  • Act as the secondary point person for all issues of office maintenance needs, including: general office cleaning, basic repairs and vendors listings/contacts. Help coordinate all day to day facilities and respond to and coordinate employee and departmental requests as needed
  • Minimum 2-3 years’ experience working in a fast paced office environment with multiple tasks and projects at hand
  • Proficient computer skills, including Microsoft Office and G Suite are required
  • Excellent planning, time management and prioritization skills
  • Up-to-date with advancements in office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills

  • Bachelor’s degree in business administration or related field preferred
