Duke University Press is seeking a Pre-Production Manager to work with our Books Acquisitions group. The Pre-Production Manager oversees and guides the preparation of manuscripts, artwork, and permissions documentation for all of the books published by Duke University Press. This role coordinates with other groups at the Press and establishes workflows that ensure the efficient and timely transition of projects from Acquisitions to Editing, Design, and Production. Job responsibilities include implementing and communicating changes in pre-production procedures and workflows; establishing author guidelines for the preparation and submission of art and manuscript materials; managing the art approval process and working with authors to develop quality art programs; overseeing the Acquisitions group’s use of publishing systems and technologies; supervising freelancers and student workers; and maintaining the departmental operating budget and ensuring the timely payment of vendors and freelancers.

Proficiency with Adobe Creative Suite (esp. Photoshop and Illustrator) is essential. Candidates should also demonstrate strong project management and communication skills. Design experience and knowledge of print publishing is a plus, but not required.

Job Description:
Pre-Production Management
Establish and manage pre-production workflows and procedures for all DUP books
Continually assess and monitor protocols and expectations between Acquisitions and other groups and teams across the press; negotiate and coordinate changes as needed
Develop and maintain systems for organizing and transferring permissions information to the IP team and other internal stakeholders. Establish resources and documentation to support author engagement
Coordinate with Books EDP (Editing, Design & Production) on any issues or concerns that may alter the printing needs and production demands of a project, working closely with editorial associates and editors to resolve any outstanding queries before transmittal
Maintain standards and procedures for art and manuscript submission and oversee the revision of the art submission guidelines as needed
Oversee the pre-transmittal cover art tracking process and ensure electronic resources are up-to-date and meeting the needs of Acquisitions, EDP, and Marketing

Art Evaluation and Preparation
Manage the evaluation of photographs, line art, maps, and other artwork submitted by authors, working closely with editorial associates and editors to develop quality art programs for our books
Evaluate artwork at all stages of the pre-production process for reproducibility, legibility, proper format, and contextual relevance within a manuscript
Provide feedback to editorial associates, editors, and other in-house staff on the suitability of artwork; coordinate directly with authors as needed
Edit and process images to enhance the reproduction quality of artwork and develop technical procedures to standardize art files submitted at transmittal
Scan original art (e.g., slides and negatives, print photographs, publications, or archival materials) sent in by authors and capture screen grabs from websites, DVDs, or online media sources
Create line art illustrations (e.g., charts and diagrams) and maps for authors as needed. Edit and prepare line art submitted by authors and format them to meet our technical requirements, and, if necessary, provide support to authors who hire freelance illustrators and cartographers
Evaluate artwork permissions and offer feedback to editorial associates and editors as needed
Publishing Systems and Technologies
Serve as department lead for the implementation and maintenance of publishing information systems and enterprise system upgrades
Manage the Acquisitions group’s use of DUP’s bibliographic database, assessing business needs and working closely with the product manager to develop and configure functional data management solutions and reporting tools
Develop solutions and provide support to improve electronic and digital workflow systems within the Acquisitions group and in coordination with potential stakeholders across DUP. Recommend and implement new methods, training, or documentation as needed
Facilitate the incorporation of new technological resources, system tools, and reporting capabilities, collaborating with cross-functioning groups as needed
Work closely with product managers, the Press’s IT team, and related committees to represent the interests of the department and effectively communicate project updates and developments back to the Acquisitions group
Support Staff Management
Supervise freelancers, student workers, and temporary employees supporting pre-production art evaluation and preparation
Coordinate project schedules and assignments with freelancers and vendors
Manage Departmental Operating Budget
Track monthly department spending; provide quarterly reports, assist department manager with annual budget preparation
Ensure the timely payment of vendors and freelancers
Other Responsibilities
Occasional travel to industry conferences and meetings
Serve as a design stakeholder for marketing and Press-wide initiatives, representing the interests of the Acquisitions group
Participate in departmental meetings and retreats
Serve on interdepartmental committees and initiatives as needed Minimum Qualifications

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
