Summary of Key Responsibilities
Responsible for the administration of processes that are shared across Early and Late Phase Operations. Fosters strong relationships with third parties, including Principal Investigators (PIs), sponsors, monitors, and candidates for employment.

Schedules and supports Site Initiation Visits (SIVs), Pre-Study Visits (PSVs), and site tours. Provides support to hiring managers, as needed, to schedule candidate interviews. Serves as a backfill to the Monitoring Suite Coordinator. Orders all supplies and scrubs for Early and Late Phase Operations.

Duties and Responsibilities

SIVs/PSVs:
Promotes positive relationship management in each touchpoint and interaction with PIs
Corresponds with PIs and Early and Late Phase Managers to schedule SIVs/PSVs, including specific times during SIVs for Pharmacy, Lab and Tissue, and Phlebotomy
Collects all necessary information for the SIV/PSV and communicates in advance. (E.g., protocol, feasibility questionnaire, sponsor information, attendee information, teleconference/webex information, designated Research Nurse)
Prints protocols and distributes in advance
Communicates weekly summary of upcoming SIVs to Chief Scientific Officer, Pharma Relations team, Early and Late Phase Directors and Early and Late Phase Data Operations Managers
Greets and escorts PIs and establishes self as a capable contact for assistance
During the SIV/PSV, provides all-day support and issue resolution for the PI, including technical issues
Arranges and sets up lunch on the day of the SIV/PSV

Site Tours:
Corresponds with monitor/sponsor and Managers to schedule site tours
Promotes positive relationship management in each touchpoint and interaction with monitors/sponsors

Candidate Interview Support:
Provides support to hiring managers, as needed, for candidate interviews
Corresponds with candidates, hiring managers, and interviewers to schedule candidate interviews
Promotes a positive candidate experience in each touchpoint with candidates
Collaborates closely with the Candidate Coordinator to leverage templates and best practices

Atrium Administrative Support:
Serves as a back up to the Monitoring Suite Coordinator for daily lunch and as needed when the Coordinator is out of office
Orders office supplies and scrubs across Early and Late Phase
Identifies, proposes, and implements opportunities for process improvements across scope of role

Qualifications

Knowledge:
Knowledge of organization policies, procedures, systems
Knowledge of office management practices
Knowledge of grammar, spelling, and punctuation to type from draft copy

Skills:
Strong organization skills
Excellent interpersonal skills
Excellent verbal and written communication skills
Skill in computer applications, especially Microsoft Office (Outlook, Word, Excel, and PowerPoint)

Abilities:
Ability to multi-task in fast paced environment is essential
Ability to establish rapport with PIs, monitors/sponsors, and candidates
Ability to be resourceful and resolve issues
Ability to work effectively with staff, PIs, and other external monitors and agencies

Education:
Associate Degree required; Bachelor Degree preferred

Experience:
One year or more of administrative experience or equivalent experience
One year or more of experience working in a health care organization preferred
