Facilities Specialist

Perform daily inspection of the facility to ensure it visually appears and functions in a quality manner
Assist the Director of Facilities in day-to-day operations and planning
Coordinate preventative maintenance schedules
Coordinate electrical and HVAC staff scheduling
Coordinate and arrange minor building alterations
Communicate work with various internal groups, vendors, and landlord
Respond to and follow up with employee complaints/inquiries (ie odors, temperature)
Ensure the day-to-day work orders coming in via email are being addressed by the team
Provide weekly and monthly reports, such as; staff scheduling, energy usage, open work order log, and financial tracking of capital projects
Work with housekeeping to ensure a safe and pleasant employee experience
Maintain electronic documentation system for all facilities documents
Manage and level vendor quotes for future projects and submit quotes for purchase orders into our finance system
Maintain a log of facility-related vendors (ie, painters, masons, UPS vendor)
Maintain key log and lockbox of all facility keys
Work with EHS to ensure safety initiatives (ie lock out/tag out) is successfully implemented
Ensure contractor invoices are being submitted in accordance with Finance Department’s requirements
Provide suggestions for facility improvements


Basic Qualifications
College degree in a related field
Minimum three (3) years of work experience related to Facilities Management

Additional Qualifications
General knowledge of building maintenance, electrical and HVAC terms
Excellent customer service and interpersonal skills
Ability to juggle multiple complex tasks, coordinate tasks, and meet multiple deadlines under time pressure with frequent interruptions
Proven ability to quickly learn and implement new technologies and software applications and to apply knowledge to varied environment and changing tasks
Strong interpersonal, analytical and problem solving skills
High standard of written and verbal communication skills
