What you’ll be doing...

This position manages a diverse range of daily activities that support the Verizon Marketing Organization at the 140 West Street, NYC location. Incumbent will organize and coordinate the ongoing operation of the office overseeing and managing the provisioning of supplies, equipment and services that enable the staff to perform their jobs effectively.

This position provides logistics support for meetings which includes but is not limited to; conference room / telepresence scheduling, room setup and preparation, meeting material review and coordination. Incumbent will serves as point of contact for guests visiting the location.

This position provides general administrative support to multiple Directors including the CMO. This person will be aware Executive’s span of control, as well as, company policies and procedures. Incumbent willsafeguard confidential information.

This job will require candidate to communicate consistently and comfortably with staff and business stakeholders across several management levels.

Maintain inventory and office supplies; anticipate office needs; evaluate new office products; expedite orders when necessary; including tracking of supply expenses
Manage schedule and appointment calendar(s) and maintain sensitivity to changing priorities.
Coordinate with other Executive Assistants to resolve executive scheduling conflicts and ensure constant coverage.
Provide coverage for traveling leaders as needed.
Manage cross organizational calendars.
Prepare meeting agendas in advance.
Organize, coordinate, and take minutes at various meetings.
Schedule all business travel accommodations.
Reconcile and maintain all expense reports in accordance with guidelines.
End-to-end management of team events including offsite meetings.
Compose and prepare high-level correspondence, PowerPoint presentations and Spreadsheets.
Prepare reports, collect and analyze information; prepare presentations.
Process purchase requests and invoices.
Oversee administrative policies within the organization; recommending changes as appropriate.
Ensure operation of office equipment, order maintenance when necessary.
Performs ad hoc project-related duties as requested.
What we’re looking for...

You'll need to have:
Bachelor’s degree or one or more years of work experience.
Experience supporting senior level executives.

Even better if you have:
A degree.
Four or more years of administrative experience supporting senior level executives within a comparable corporate environment.
Corporate environment experience.
Ability to effectively interact with senior level management and maintain a high level of confidentiality.
Ability to successfully prioritize and provide accurate follow up on all issues and correspondence. Knowledge of Microsoft office suites.
Good writing and grammatical skills (i.e. for generating and editing memos).
Detail-oriented and possess good communication and organizational skills.
Abilities as a self-starter with a sense of ownership and involvement.
Ability to work extended hours as needed.
Willingness to travel.
