Job Summary:
The Library Assistant provides excellent customer service to diverse and geographically dispersed users which include University faculty, staff, students and community members. This position is part of the Access Services team, which is responsible for enabling physical access to university library collections and library spaces. This department is responsible for services relating to circulation, reserves, stacks management, interlibrary/intercampus loan, and space management. This position is cross-trained on functional areas within the department. The position requires a sophisticated competence in various computer systems, including Innovative Interfaces (Sierra), Ares, ILLiad, OCLC, Swift, and Prospector. Maintains the order of the building and is responsible for the opening or closure of the library. Mediates stressful situations related to patron concerns. Provides customer service to colleagues within the department and across other library departments. Contributes to a collaborative team environment. This position is 0.75 FTE and will be responsible for opening the building Monday-Thursday.

Major Duties and Responsibilities:
Essential:

Evaluates and process reserves and resource sharing requests: conducts bibliographic verification and database searching; photocopies, scans, and downloads articles; orders materials not owned by Regis; processes materials for mailing; sends materials to patrons.

Screens and answers or refers inquiries, in person and over email, chat, and the telephone, as appropriate.

Instructs patrons on locating books, periodicals, and government documents using the library catalog.

Assists with the recruitment, training and supervision of student assistants Shelves and shifts books, newspapers, and periodicals, and maintains orderliness of the library.

Ensures patron safety by identifying emergency situations and notifying authorities, notifying patrons, and/or clearing the building as necessary.

Monitors alarm systems for library collections and building security and communicates with security personnel when necessary.
Anticipated Schedule:
Monday-Thursday 7:15a-2:45p, with occasional Saturdays during the Spring and Fall semesters. These hours will shift according to changes in operational hours during summer and university breaks.
Other:
Performs other duties as assigned. Performs related duties as necessary to support the Regis mission.
MINIMUM REQUIREMENTS:
Education:

High School Diploma or GED required.
- Bachelor's degree preferred.
Experience:
- Previous experience working with the public and demonstrated interest in providing excellent service to patrons/customers.
- Evidence of excellent communication skills, both oral and written.

Ability to maintain poise while effectively managing a multi-task operation.

Demonstrated ability to work effectively with a diverse clientele.

Demonstrated computer skills and willingness to learn new skills and/or technologies.
- 2 years experience with a circulation and interlibrary loan module of an automated library system preferred.
DECISION MAKING:
Generally makes routine decisions but may be called upon to make non-routine decisions. Mature judgment is required for non-routine decisions.
SCOPE OF AUTHORITY:
Has the authority to negotiate patron fines. Decides if student workers have completed assigned tasks fully and correctly. Responsible for the completion of routine operation tasks.
COMMUNICATION:
Interacts daily with student workers, patrons, faculty, supervisor and other staff in person and by chat, email, and telephone to answer questions, respond to problems or complaints and provide information.
RESULTS OF ACTIONS:
The quality of service provided by this person has significant impact on the department as well as the ability of Regis faculty and students to meet their research needs. Certain errors would result in considerable internal and external confusion and delays, leading to patron dissatisfaction.

Knowledge:
- Strong knowledge of spoken and written English; knowledge of English grammar and spelling.

Working knowledge of all aspects of the library's integrated library system, including circulation and reserve procedures, online catalog searching, and a number of electronic databases.

Working knowledge of computer applications, such as Adobe Acrobat, electronic reserves (Ares), interlibrary loan (ILLiad), Prospector and Rapid.

Working knowledge of computers, printers, and photocopiers.

Strong knowledge of circulation and interlibrary loan practices and protocols including copyright guidelines and consortial and reciprocal agreements with other libraries Knowledge of the general structure and functionality of the academic library Working grasp of copyright laws and restrictions that pertain to reserves and e-reserves.

Lifting & carrying: daily lifting and carrying of books of five lbs. or less.
Pushing & pulling: daily pushing and pulling of loaded book carts.

Body movements: occasional bending, stooping, twisting, reaching, squatting.
Hand Use: frequent typing, answering telephone, pushing buttons, grasping, pointing, writing.
Sense of touch: not essential to job, although very helpful for typing.
Hearing: frequent hearing of patrons' questions and comments, via telephone and in person.
Vision: frequent reading of computer screens, printed and written material, and Microform images projected onto screens.
Mental:
Remembering: frequently must recall from a wide variety of information, individuals, and procedures in response to patron questions and requests, both by telephone and in person.

Stress: frequently deals with patrons who are under considerable time constraints and other academic pressures.
WORKING CONDITIONS:
The job is primarily indoors. Employee should be able to tolerate moderate variations in temperature and book dust.
OTHER REQUIREMENTS:

Serves as a first line of contact in dealing with patron complaints and concerns.

Authorized to levy, negotiate and collect fines for lost or overdue materials.

Responsible to provide back-up coverage to the Manager and to others in the department.
