The Administrative Assistant, Ambulatory Facilities, Ambulatory Administration, UWMC:

Provides support to the Manager, Ambulatory Facilities and Ambulatory Facilities Manager

Provides direct administrative support to the positions above (including meeting scheduling, calendar maintenance, handling of confidential and sensitive materials); scribe and maintain file of meeting minutes for various facility operational meetings

Prepares reports as needed/requested by the positions above for Ambulatory Care Director(s) or Associate Administrator

Attend meetings as administrative representative when requested

Serve as a liaison for the positions above or other Ambulatory leadership with other departments

Respond to inquiries and requests for information and provide data as requested (UW Real Estate Office, UWMC or Ambulatory leadership for example)

Support preparation and organization of materials and documentation for the annual budget process

Maintain supplies and materials for Ambulatory facilities footprint (UWMC-Roosevelt,

Eastside Specialty Center, MS Center at Northwest Hospital, Sports Medicine Clinic

At Husky Stadium, South Lake Union clinics at 750 Republican Street, floors 1-3)

The Administrative Assistant 2 will also:
Participate in review of and data collection for ACD off site “book of business”

Ongoing maintenance of fire and disaster forms and drill sheets

Ongoing maintenance of fire drill clipboards and materials

Ongoing maintenance of drill completion check list

Ongoing maintenance of forms and check lists for Ambulatory off-site clinic disaster binders

Maintain command center supplies at UWMC-Roosevelt

Maintain list and assist managers with maintenance of disaster supply kits

Maintain triage cart at UWMC-Roosevelt

Process requests for keys and access cards at various sites as needed

Maintain RN-on-call cart and supplies at UWMC-Roosevelt

Label and maintain batteries on a regular schedule for walkie talkies at UWMC-

Roosevelt clinics

Assist with coordination of clinic moves and relocations

Surplus property management

Provide Support to the Ambulatory Care Division

Prepare reports and surveys as requested

Maintain compliance related tasks (assist with/attend Environmental Tours at any named sites when requested

Provide Support to Ambulatory Administration Office at Roosevelt

Provide back up and coverage for positions above as requested

Assist with office operations as requested (will cross train with Administrative Assistant in the areas of reception duties, office machine maintenance, mail sorting, receipt and send off of lost and found items, for instance)

Perform daily code cart checks for first floor

Prepare and distribute monthly RN on call schedule for UWMC-Roosevelt

Assist and support Division-wide events and support of recognition events

Schedule and disseminate schedule for Employee Health visits to Roosevelt

Provide outstanding customer service

Maintain positive relations and interactions with staff, managers and leadership

Support teamwork and communication

Represent Ambulatory Care Division to the campus

REQUIREMENTS

Requires High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience.
