Spire Building Group is looking for a full time Office Administrator to handle various facets of office and construction project duties. Must be reliable, trustworthy, extremely detailed oriented, and a fast learner.
Primary Responsibilities Include But Not Limited To:
- Coordination with project teams (i.e. Project Managers, Project Engineers and/or Superintendents) along with upper management
- Possess organizational skills and attention to details
- Clerical work such as filing, sorting, and scanning and necessary data entry
- Answering and forwarding of incoming phone calls
- Scheduling of meetings, travel arrangements along with ordering and/or procuring all necessary office supplies
- Assist Construction Project Managers, Project Engineers and/or Estimating staff with distribution and/or filing of documents, making and taking phone calls and assisting as needed
- Obtaining necessary insurance certificates for projects and request updates as necessary
- Request bid and/or performance and payment bonds as necessary
- Assemble, distribute and track all required subcontract and/or vendor agreements, owner contracts and necessary paperwork
- Prepare, distribute and track all subcontract, purchase and/or owner agreement change order requests and change orders
- Track all subcontract insurance certificates and request updates as necessary
- Direct subcontractor and vendor/supplier by assembling bid packages including scope of work, bidding process, and needed construction documents as necessary to assist estimating and/or project management teams
- Maintain accurate work logs of construction activities, job information sheets, and project team rosters/directories
- Oversee construction contract administration and submittal log processes to ensure that the contract document requirements are met throughout the construction experience
- Entering and continuously update company directories in various software programs
- Assembling closeout documents/packages including maintenance agreements, equipment information, warranties, and contractor contact information
- Coordinating with third party payroll service
- Maintain accurate filing systems
Qualifications
- MUST be proficient with Microsoft Office products such as Work, Excel and/or Outlook
- Preferred experience with Procore
- Must have a basic understanding of construction terminology
- Prior experience in the Construction field is preferred
- Ability to work independently
- Ability to multitask
- Must be a team player
