Title: Receptionist

Summary:
The Receptionist is responsible for ensuring front desk coverage by greeting all visitors, applicants and staff in a professional and courteous manner. He/she must coordinate facility visitation activities with all departments and communicate effectively across all departments. The incumbent must be able to deal with a diverse group of external clients as well as internal staff at all levels of the organization. The responsibilities will also include providing back-up to the Facilities Specialist when out of the office, responsibility for adhoc assistance to LifeCare’s legal counsel, HR and Finance departments.

Scope of Responsibilities:
Provide a high quality first impression to all visitors by exhibiting a friendly demeanor and providing superior customer service to all clients and customers.
Maintain a neat and professional appearance to the reception area and maintain security precautions.
Provides information by greeting and directing visitors and locating the appropriate contact for them to meet in a professional and efficient manner.
Communicate with all departments to successfully coordinate meetings, visitor arrivals and luncheons as needed.
Serve as general information center, i.e., be knowledgeable about LifeCare clients, etc. Provide basic company and other office information as requested while maintaining confidential information as necessary.
Assist legal counsel in support of LifeMart contracts in an administrative capacity.
Back-up support for specified facilities related tasks such as shipping and receiving as well as general facilities upkeep as needed.
Provide support to Accounts Payable with reimbursement programs and any other assistance as needed.
Provide administrative support to specified leadership team members on an as needed basis and responds promptly to their requests for service and assistance.
Ensure the smooth flow and competent handling of required activities through effective personal time management.
And any and all responsibilities assigned by management.

Qualifications Required:
High School Diploma, Associates Degree preferred
3-5 years customer service/receptionist required
Strong verbal and written communication skills.
Enthusiastic, approachable, warm, pleasant and gracious.
Must have some proficiency in MS Office software, including Outlook, Excel, PowerPoint and Word.
Demonstrated ability to work with a high degree of accuracy and attention to detail.
Excellent organizational, administrative and time management skills
Exceptional attention to detail, ability to multi-task, enthusiastic team player
Aptitude for mailroom technology and able to lift at least 10 lbs.
