Seeking talent to organize and oversee the daily operations of our company. You will be the one to ensure that our business is well-coordinated and productive by managing its procedures and coaching its people.

The area of responsibility for this role is very wide and thus requires thorough knowledge of various company processes. Must be competent and able to plan ahead many different kinds of operational activities. He/She must be an excellent leader who can discover the most efficient ways to run the business.

The goal is to safeguard and augment the efficiency of the company’s operations to facilitate accelerating development and long-term success.

Compensation:
$75,000 - $100,000+

Responsibilities:
Liaise with superior to make decisions for operational activities and set strategic goals
Plan and monitor the day-to-day running of business to ensure smooth progress
Supervise staff from different departments and provide constructive feedback
Evaluate regularly the efficiency of business procedures according to organizational objectives and apply improvements
Oversee customer support processes and organize them to enhance customer satisfaction
Review financial information and adjust operational budgets to promote profitability
Revise and/or formulate policies and promote their implementation
Manage relationships/agreements with external partners/vendors
Evaluate overall performance by gathering, analyzing and interpreting data and metrics
Ensure that the company runs with legality and conformity to established regulations
Ensure office operates without Elaine
Manage Listing/Transaction Coordinator
Open up all listings/under contract/checklists and monitor
First Point of contact for every team member to go to when they need something
Return all calls/emails that come in for Elaine
Delegating to team members to provide the most efficiency and expense reduction
Creating, improving and adding new systems
In charge of expense reduction
Growing Team and adding members
Planning and completing team meetings
Oversee the marketing calendar make sure listings coordinator gets all the post cards out on time
Plan social media calendar and make sure its implemented for listings coordinator
End of the day make sure all emails/leads are addressed and we are ready for the next day
Monitor and maintain database for accuracy
New strategies to grown team and make existing team more productive
Oversee sales plans and ISA activities of new agents
Work closely with CEO to ensure business runs efficiently and grows
Responsible for all properties and day to day operations

Listings:
Process all listings – see checklist
Provide twice weekly marketing update or closing update to all clients
Prepare leases and process listings/rental leases
Make sure all check lists are up to date for all listings

Daily:
Answer and assist all phone calls
Any calls Elaine has to return should be directed to contact Elaine via email unless it is a new or existing client
Monitor/keep and schedule all appts for Elaine
Return and take care of all incoming emails for Elaine except for Post Contract matters for Transaction Coordinator on site
Make sure office space is neat and organized
Communicate with current clients on any updates you have to their sale of their home as a result of our efforts
Update Elaine at the end of each day via email so she is aware of progress, outstanding items for the day and that everything is ready for the following day
Implement past client communication regularly to seek regular referrals to ensure 25% or more of team’s business is from past clients

Monthly:
Sales reports and tracking progress of annual sales goals
Lead generation reports
Update on status of competition
Marketing campaign update and confirmation all direct mail has gone out for the month to all farms
Email marketing campaign has gone out

Weekly:
Providing Listing clients with twice weekly reports of progress
Working on what we can do to get listings sold
Working on new hires, new strategies and new ideas to increase the team and sales

Marketing:
Provide data and proof ads, newspapers ads, and post cards
Coordinate all sponsorship activities for the year
Maintain open house schedule with clients and Buyers Agents Monthly
Secure any corporate advertising available
Promote any press releases
Plan, coordinate, set up/close up and attend Broker opens and or events for Elaine Koch Real Estate
Maintain web site maintenance/changes – and blogs
Maintain client data base in Contact/Maintain schedule for all past clients

A, B and C lists:
Immediately be the first point of contact for any lead that comes in to the office to secure an apt for Elaine.
Working content and proofing on monthly Farm Mailings and news paper ads
Work on lead generation

Accounting:
Be sure Elaine or Bookkeeper pays and or receives all Accounts receivable, accounts payable, payroll tax return preparation, process payroll, set budgets for listings and sponsorships, track expenses and make travel arrangements when necessary for Elaine
Review and manage budgets. Provide weekly expense reports and ensure we are within budget
Set goals with team and team members/track progress and review with team

Team Support:
Support all listing tasks for team members
Track team production/set goals with team members
Coordinate getting new agents started with preparation of new business cards and going over all our policies and procedures
