SUMMARY:
This position is responsible for administering multiple HR systems and maintaining employee information for the purposes of accurate record keeping, database management, and payroll activity. The focus of this position is HRIS, but it also includes some Benefits functions to ensure accuracy and seamless data communication between these two high-profile Total Rewards areas. This position works closely with the other HRIS roles, and must support and collaborate with the HRIS team as well as other HR team members. The HRIS function supports the entirety of KSEA and KSLA. Maintaining strict confidentiality is required at all times.
DUTIES AND RESPONSIBILITIES :
System Management
Confirm accuracy and integrity of employee data, position attributes, and organizational structures through audits and query generation and coordinate data cleanup as necessary.
Ensure data is correctly transitioned into dependent systems.
Ensure HR personnel are trained in all relevant HRIS processes and systems. Support and encourage knowledge and information sharing.
Conduct formal and informal HRIS trainings (including New Hire Orientation), and create supporting materials, to include the development of user procedures, guidelines, and documentation.
Provide administrative and technical support for users across all HRIS applications.
Participate in the review, testing, and implementation of HRIS upgrades and patches.
Troubleshoot issues, investigate, and diagnose root cause problems. Serve as HRIS Liaison with IT to work through identified issues.
Ensure compliance with standards and regulations regarding job codes, cost centers, and other areas within the HR systems.
Responsible for supporting the integrity of the interfaces between SuccessFactors Employee Central (SFEC), any future platforms, and downstream or island systems (Payroll, Active Directory, LMS, BenefitSolver, Voya, etc.).
Identify and recommend solutions to errors and problems.
Contribute to the recommendation for system improvements and participate in new system implementations as needed.
Design, generate, and distribute standard and ad hoc reports. Analyze data as necessary.
Employee Information Management for New Hires, Terminations, and Employee Position Changes
Enter data related to new and existing employee movement into SFEC and other relevant HR systems.
Retrieve information from multiple sources (SFEC, KRONOS, Taleo, I-9s, and any future HR systems or platforms) and review for accuracy and completeness.
Prepare a KRONOS profile for each new employee and update as necessary for existing employees experiencing internal movement.
Ensure e-Verify and I-9 validations are completed and passed, that the appropriate legal documents are received, and that the correct employee information has been entered into SFEC.
Collect, review, verify, and report on Leave of Absence status of employees and ensure accuracy in both SFEC and KRONOS data.
Partner with TA and other HR groups to ensure seamlessness and accuracy for onboarding and existing employee movements.
Submit information to American Express for relevant employees and maintain master spreadsheet.
Maintain HRIS data in HR Termination Spreadsheet.
Payroll
Maintain strong partnership with the Payroll Department on multiple processes throughout each pay period.
Serve as a liaison between HR and Payroll functions.
Responsible for any standard and non-standard pay processes and other responsibilities related to payroll reporting.
Perform regular audits against Payroll to ensure data integrity.
Perform audit of all timecards in KRONOS prior to Payroll pull of time information bi-weekly. Work with employees, managers, and other HR partners to ensure accurate time information.
Benefits
Provide support for Benefits function; this is expected to be approximately 20-25% of scheduled weekly working time.
Audit and approve weekly 401k and Fitness Benefit reports for Payroll submission.
Responsible for the review and integrity of data contained in weekly SFEC to Benefits interfaces (The Hartford, BenefitSolver, Voya, etc.). Provide research and data corrections as needed in SFEC and partner with IT to address any issues with data being extracted.
Maintain Benefit premium payments for Leave of Absence employees.
Assist in Annual Open Enrollment updates, auditing and outreach.
Respond to employee inquiries regarding benefits, premiums, and wellness.
Establish proficiency within the various Benefits systems and provide backup to the Sr. Benefits Administrator.
Auditing & Reporting
Weekly/Bi-Weekly: KRONOS transition reports, Benefits interfaces, Payroll (to include providing response and adjustments as needed based on audit findings), sick time accruals report, American Express status updates
Quarterly: Taxable Fringe Benefits for Payroll
Semi-Annually, or As Needed: HR Acuity, BCP Reports, various KRONOS audits, and any other ad-hoc requests
Annually: Support audits and other government reporting as needed
KNOWLEDGE, SKILLS, AND ABILITIES
Bachelor’s Degree or equivalent and related work experience required.
4 + years experience Human Resources Information Systems strongly preferred; 2+ years required.
2+ years SuccessFactors Employee Central strongly preferred.
2+ years KRONOS Timekeeping and backend proficiency strongly preferred.
2+ years SAP HCM experience preferred.
eVerify process experience preferred.
System transition implementation experience preferred.
Ability to quickly learn and navigate new systems required.
Ability to navigate through both automated and manual work processes across HR functions and with other departments required.
Excellent time-management skills required.
Ability to multi-task efficiently with exceptional attention to detail is non-negotiable.
Must possess the ability to communicate clearly and effectively in a collaborative manner with employees at all levels across the organization.
Must embody a work style that incorporates an appropriate sense of urgency as well as a positive and collegial team spirit.
