Under general supervision of the Registrar of Exhibitions, the Assistant Registrar of Traveling Exhibitions is responsible for registration functions related to traveling exhibitions organized by Crystal Bridges Museum of American Art (the “Museum”) and Art Bridges (see

S/he will coordinate tour logistics, including packing, transit, storage, replacement loans, and insurance. This position also acts as an information source and point of contact for the tour venues, providing installation instructions and lender requirements, as well as trouble-shooting and responding to questions. The Assistant Registrar of Traveling Exhibitions will be expected to physically accompany shipments as well as be present for installation and deinstallation at the tour venues for condition-checking and supervision.

Principal Responsibilities (Essential Functions)

Work closely with Curatorial and Exhibitions staff on planning for traveling exhibitions including reviewing venue facilities, tour schedules, and exhibition contracts.
Collaborate with the Exhibitions department, particularly the Traveling Exhibitions Manager, on the logistical and scheduling aspects of traveling exhibitions.
Assist with the development of budgets for traveling exhibitions.
Assist with securing loans from museums and private lenders.
Assist with obtaining insurance coverage for traveling exhibitions.
Coordinate and perform incoming and outgoing condition reports. Prepare condition report books and packing and installation notes and instructions.
Work collaboratively with Museum, Art Bridges, and tour venue staff to make shipping, receiving, storage, packing/unpacking, installation/deinstallation and courier arrangements.
Communicate lenders’ requirements for conservation, installation, and security to tour venues and ensure requirements are met.
Oversee exhibition installations and deinstallations at tour venues including safe handling, installation and condition-checking of artwork.
Serve as a transit courier.

Secondary Responsibilities

Keep apprised of approved and current museum registration standards as well as basic conservation guidelines for the care and handling of artworks.
Assist in storage and handling of permanent collection and loans.
Support collections management activities including inventory and cataloguing.
Complete all other duties as assigned within the scope of responsibility and skill required for the job.

Minimum Qualifications

Education, Training, and Traits:
Bachelor’s degree from accredited college or university required, with course work in art, art history, museum studies or related field.
Knowledge of American Art and a familiarity with artists’ materials.
Knowledge of art handling standards.
Ability to understand and maintain the highest levels of confidentiality.

Work Experience:
Minimum two years of experience in museum registration, exhibition-related preferred.
Experience using complex collections database applications, The Museum System (TMS) preferred.

Licenses and Certifications:
Valid driver’s license with clean driving record required.
Ability to obtain valid passport.

Skills and Abilities

Flexibility to travel with exhibitions.
Proficiency in the use of Microsoft Office software to include Outlook, Word, Excel.
Experience with budgets preferred.
Comfortable working with diverse constituencies, including artists, collectors, designers, museum staff and the general public.
Strong written and verbal communication.
Exceptional organizational and project-management skills.
Ability to work in a fast-paced environment with strong attention to accuracy and detail.
Ability to manage multiple projects simultaneously.

Physical demands: In the work environment described below, position requires verbal and written conversation with others, sitting, standing, walking, bending, reaching and climbing. Position requires working at a desk and utilizing a computer for prolonged periods of time and good eye/hand coordination. Vision abilities required by the job include close vision. Position requires use of hands to safely handle and move collection objects according to the most current approved museum standards. Position periodically requires standing for prolonged periods of time. Position requires occasional lifting of up to 20 pounds to a height of five feet for the purpose of accessing or storing library or art-related collections objects. While traveling with art, position requires sitting in trucks for extended periods over long distances.
Work Environment: The majority of work will be performed in an office environment. The noise level in the work environment is usually low to moderate. Work requires independent travel as a courier to accompany exhibitions and loans worldwide. Occasional weekend, evening and night work hours also required.
