Receptionist / Switchboard Operator

Acuity is seeking a Receptionist / Switchboard Operator to greet and assist visitors, agents and the general public. This person will monitor guest list and grant access to building accordingly. He/she will maintain the switchboard communication system and general efficient handling of phone calls on a rotating basis. He/she will notify appropriate personnel of emergency situations. This person will take premium payments from insureds. He/she will assist with Policy Assembly activities on a daily basis. This person will process ACMS transactions for Corporate Fax and Imaging on a daily basis.


Answer incoming calls and direct them to proper parties.
Distribute overnight messages to the appropriate individual.
Greet, register and assist visitors.
Make all visitors feel welcome.
Accept documents or locate the party being visited and page the party if necessary.
Monitor the galleria area for general safety and security.
Assist with the assembly of personal lines and commercial lines print.
Electronically file and process commercial, personal, claims and other corporate faxes received through the Automatic Content Manager System (ACMS).
Electronically file and process No Claims Image through the Automatic Content Manager System (ACMS).
Electronically file and process Commercial No through the Automatic Content Manager System (ACMS).
Accept cash and check payments from insureds. Verify policy status, make change, and prepare receipts. Secure all cash and promptly notify the Cash Room of payments.
Make requested pages and special announcements.
Place long distance calls and connect conference calls at the request of employees.
Assemble audit documents.
Provide coverage during companywide events.
Monitor severe weather and make companywide tornado announcement when necessary.
Regular and predictable attendance.
Perform other duties as assigned.

High school diploma

Previous receptionist and switchboard duties helpful, but not necessary.

Willingness and ability to provide eight hours of coverage between 7:00 am to 6:00 pm, as needed
Strong attention to accuracy, neatness and detail
Extreme reliability and responsibility
Must have excellent punctuality and be able to work independently
Exceptionally pleasant speaking voice
Pleasing and courteous disposition under pressure
Familiarity with switchboard communication systems
Computer and keyboard shortcut knowledge. Ability to achieve 6,000 - 6,500 keystrokes per hour on alphanumeric data entry with minimal errors.
Willingness to constructively and professionaly share ideas and voice opinions in monthly team and individual meetings.
