Work collaboratively with internal and external project teams to ensure complete and accurate information for the successful completion of all furniture installation projects, moves adds and changes, day 2 requests, and concierge services with an emphasis on cost effectiveness and customer service. Facilitate any changes to project scope to respond to customer needs while mitigating margin erosion. Oversee timely and accurate completion of any outstanding punch list issues. Collaborates with Account Management, Sales teams and clients to design successful projects.

Essential Duties and ResponsibilitiesIncluding but not limited to:

Project Management

  • Coordinate interface with Account Coordinator, Order Manager, and when necessary manufacturers regarding shipping schedules and special instructions for production/shipping to meet project timeline
  • Conduct product/vendor research as needed for product or application requirements
  • Track project progress and manage project budgetManage restrictions specific to each site (i.e. building codes, property management rules, loading dock, elevator, etc.)
  • Continually amass industry knowledge (especially technical) to apply to project implementation and be seen as an industry expert both with internal team and clients
  • Work with vendors or other experts to provide solutions pro-actively
  • Conduct pre-installation site visits
  • Create and orchestrate furniture installation schedules
  • Collaborate on ROM package preparation as needed to define scope, labor estimates and project schedule
  • Gain knowledge of building codes specific to certain areas, or certain requirements inherent to the project such as: Title 24, LEED, or Forest Stewardship Council
  • Manage all MAC request to completion from workplace, planning, AMS and Facilities teams


  • Supervise site installation, including performance of work, installation administration and timeliness of task completion
  • Ensure field paperwork is complete and delivered in a timely manner to project team
  • Facilitate changes in the field with client and installation crew

Punch, Invoicing and Project Close-out

  • Timely presentation, execution and completion of all change order documentation to client
  • Conduct final walk-through of project and develop punch list
  • Retain primary ownership for punch list resolution
  • Confirm project completion to ensure all invoicing is timely and accurate
  • Manage all final project close-out requirements, including contract requirements, client sign-offs, lien releases etc.
  • File all client signed documents to file cabinet in CORE
  • Review and approve final invoices from install provider against quoted scope

Client Management

  • Act as main point of contact for project implementation and direct information accordingly to ensure client's needs are met
  • Maintain relationships with clients, building managers, installers and external project team
  • Write succinct correspondence and utilize applicable communication tools for distribution to project teams
  • Assist clients in decision-making by eliciting information on their needs and preferences and provide options for their review and feedback
  • Inform client and project team of manufacturing timelines and direct project schedule milestones to support project completion goals
  • Identify opportunities for introduction of enhanced or additional products and services to the client resulting in continual account growth
  • Present opportunities for process improvement and increased account support to InsideSource team

Supervisory Responsibilities

  • Supervision of onsite support Program Staff

Skills/Knowledge Required

  • Excellent interpersonal and communication (written/verbal) skills to interact with a wide range of people both internally and externally
  • Computer proficiency (MS Office – Word, Excel, Outlook, PowerPoint, etc.)
  • Strong organizational and administrative skills to execute project deliverables
  • Working knowledge of interior construction, interior design, moves and relocations, trucking, furniture manufacturing and shipping, building management and current workplace issues
  • Strong product and technical knowledge, including applicable building codes, standard and custom product applications
  • Ability to assemble and propose product pricing, labor estimating and solicitation
  • Proficiency with electrical and cabling mechanisms and planning as it pertains to building infrastructure and furniture applications
  • Ability to analyze, plan, schedule and implement furniture projects
  • Ability to read and interpret floor plans
  • Proactive and self-starter on a daily basis
  • Both a problem solver and a creative thinker
  • Ability to stay on task and respond timely to requests, deadlines and internal duties
  • Demonstrated commitment to professionalism, integrity and sound judgment in business transactions to provide the highest level of customer satisfaction

Experience/Education Required

  • Bachelor’s Degree (BA) or certificate in Interior Design, Project Management or related field; or equivalent combination of education and experience
  • 3-5 years’ contract furniture industry experience or equivalent
  • Experience with Dealership business systems preferred
  • Furniture product specification knowledge required
  • Background in customer service
  • Installation or move management background a plus
