Job Description: Associate Event Specialist

Reports To:

Event Specialist; Director of Operations

Position Summary:

The Associate Event Specialist controls an event from conception to clean up, generally making sure the event runs smoothly and efficiently, and handling any crisis that may come up. This individual meets with clients to work out event details, plan with the client and their team, scout and book locations, food, entertainment, staff and cleanup. This individual is self-directed in their work, and strives to form relationships with their client in interest of bringing the client vision to life through the event execution. The Associate Event Specialist completes their work with minor guidance from the Event Specialist/Director of Operations. The Associate Event Specialist collaborates with all levels of management and all teams across the NSE Brand to deliver a final product that meets the NSE

standard of excellence.

Responsibilities:

Ultimately, the Associate Event Specialist’s job is to execute a successful event. This individual will be in charge of their own events beginning with the packing process and ending with clean up after each event. This position requires collaboration with the Scheduling Manager to ensure that staff are scheduled appropriately for each event. As part of the NSE Team, this individual will also share responsibilities throughout the office, as well as potentially assist with other events they are not leading. Responsibilities include:

  • Attending company meetings and event planning meetings as requested
  • Documenting client information and inputting into the respective application in a timely manner
  • Reporting necessary event information as designated by NSE process and policy
  • Partner with sales to develop creative concepts for specific client proposals to determine client needs including financial budgets
  • Procuring and packing necessary items for events
  • Arriving on time to pack event items into designated vehicles and transport to event site
  • Leading setup for the event
  • Leading or handing off takedown of the event and supervision of subsequent transportation of items back to office following the event
  • Completing cleanup or supervision of cleanup and put away of all items used for events
  • Execution of events including day-of coordination
  • Communication with Scheduling Manager regarding scheduling needs for events
  • Maintaining the office by assisting with regular cleaning activities such as vacuuming and décor cleaning, as well as seasonal decorating
  • Managing work availability and communicating this to scheduling manager
  • Other duties as assigned

Experience and Education Required:

1 year of work experience with Northland Special Events or other professional event company

Bachelor’s or Associates Degree in related field preferred

Job Requirements:

The Associate Event Specialist position requires an eye for detail, an ability to work in a fast paced and demanding event environment, and a desire to deliver an exceptional product. This individual will work mainly independently, with guidance as needed from the Event Specialist and/or Director of Operations. This individual should possess an ability to regulate their own time, build relationships with clients and assist with designing event boards, and control their own timelines for meetings and other necessary event execution tasks. Specific Requirements include:

  • An eye for design and an ability to see the “whole picture” of the design and transfer that into

packing and/or setup

This position is hourly, part-time, non-exempt.
