Rehabilitation/Wellness office support staff

Responsibilities include, but are not limited to, the following:
Responsible for day to day reception services functions to include, but not limited to: greeting patients if needed; answering phones; patient check-in, registration and check-out; insurance verification if needed; appointment scheduling; prepare and review charts for appointments; and processing orders
Assisting with gym/facility set up, ordering of equipment, maintaining day to day needs of operation
Instructs/directs patients in a timely manner according to established policies and protocols related to care
Keeps an open line of professional communication with assigned staff, referral sources and providers regarding patient needs
Customer service calls for wellness and therapy programs
Fielding marketing calls and emails for therapy and wellness programs
Maintains a pleasant and cooperative demeanor while performing all duties

Follows all applicable department and practice policies and procedures
Maintains patient confidentiality; complies with HIPAA privacy and confidentiality guidelines established by the practice
Maintains detailed knowledge of practice management and other computer software as it relates to job functions
Participates in committee meetings to facilitate system changes
Attends all required meetings
Performs all other tasks and projects assigned by the Manager

Educational Requirements:
Bachelors degree recommended, however high school diploma acceptable with proficient experience

Qualifications and Experience:
At least two years of reception and customer service experience in a Rehab, Therapy, Gym/Fitness, or Medical office setting
Proficient using email and interacting with Internet applications
Knowledge of practice management and processing software including Google Suite and Office word/excel
Knowledge of fitness software would be added bonus (Mind/Body similar platforms)
Prior experience with patient payments systems
Excellent communication skills on phone and in person
Exceptional customer service skills on phone and in person
