Administrative Assistant (preferred location RTP,NC or Richardson,TX)
· 5 years’ experience in an administrative environment. A minimum of two years of experience supporting a principal who was at the Director level and above.
· Great attention to detail and the maturity to handle confidential information is a must.
· Advanced knowledge of Mac/Windows desktop computer applications: Outlook, Word, Excel, PowerPoint. Helpful to also understand Smartsheet, Box, Doc Central.
· General Skills:
o Past work experience in the high-tech industry is desired; prior Cisco experience preferred.
o Excellent verbal, written and presentation communication skills including the ability to communicate with all levels of Executive/Senior staff and clients.
o Collaborative style, with excellent teamwork. Positive, “can do” attitude and resourceful.
o Works in an organized and disciplined manner. Very detail-oriented. Proactive by nature, anticipating and acting on issues before they become bigger problems.
o Ability to work effectively both independently and as part of a team.
o Ability to work on tight deadlines.
o Providing administrative support as needed including calendar and meeting management, event planning and coordination.
o Responsible for making travel arrangements. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while managing Cisco expenses.
o Maintaining organizational charts
· Meeting Planning and Organizations
o Organizing, attending and participating in stakeholder meetings; taking and distributing minutes to all team members.
o Assembling the agenda, location, meeting technology (WebEx, TP) based on participant needs, and all other meeting logistics. Assist in preparing necessary presentation materials for meetings.
o Documenting and following up on important actions and decisions from meetings and coordinating activities to drive closure.
o Correspondence/Approvals: Supports Director by acting as a proxy for communications and approvals as authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties and follows up to ensure proper disposition
· Special Project Assignments
o Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures as needed.
o Ensuring project deadlines are met.
o Determining project changes.
o Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
