Work Hours Monday through Friday 9:00 a.m. to 5:00 p.m.
Responsible for assisting employees and visitors at the main reception area for the Division of Human Resources. Maintains and operates a telephone switchboard system with five (5) incoming lines, which services approximately 50 staff. Ensures telephone calls are directed to appropriate personnel. Reports faulty lines to department telephone technician. Responsible for sorting and distributing Division of Human Resources mail on a daily basis. Responsible for filing confidential personal and medical documents into over 4,800 employee personnel files. Operates desktop PC and software (Microsoft Word, Access, Excel and DOC intranet and email applications) to retrieve, edit, store, draft and revise correspondence, reports, forms and databases. Performs routine office duties, including filing, copying and faxing. Retrieves information from employee personnel records for various DOC staff members and/or outside agencies. Exercise and maintain sound judgment and maintain confidentiality in handling all confidential material/information. Performs all other related duties as requested.
Knowledge of clerical office practices and procedures including record keeping, office correspondence control, types and uses of office equipment and supplies, business letter and report preparations, etc. Knowledge of business English including spelling, word meaning and word usage. Knowledge of the standard office practices relative to handling of incoming mail. Knowledge of the types of standard applications of standard office filing systems. Ability to exercise discretion in handling confidential information. Ability to follow oral and written instructions. Ability to deal tactfully with others.
This is a Civil Service position. Please note that salaries for union positions are determined according to the provisions of the respective collective bargaining agreement.

MINIMUM ENTRANCE REQUIREMENTS:
Applicants must have at least (A) two years of full-time, or equivalent part-time experience in office work the major duties of which included typing, or (B) any equivalent combination of the required experience and the substitutions below.
I. A diploma as evidence of graduation from a commercial or business course of a recognized high school or vocational/technical high school maybe substituted for a maximum of one year of the required experience.
II. A diploma as evidence of graduation from a course other than a commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*
III. A diploma for completion of a program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*
IV. An Associate's or higher degree may be substituted for a maximum of one year of the required experience.*
Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
