Enlivant is seeking an Executive Assistant to join our Enlivant Support Center in Downtown Chicago!

ABOUT YOU:
The Executive Assistant will provide exceptional administrative & operational support to the CHRO and the HR/Legal department as assigned. He/she will perform advanced administrative/clerical duties as well as handle project assignments to support initiatives and strategic needs. He/she will have the ability to exercise good judgment in a variety of situations and be a strong communicator (both written and verbal). This position requires a high level of confidentiality and discretion, the ability to manage relationships both internally across the organization and externally, excellent time and project management skills, as well as mastery of logistics planning skills related to travel and calendar management. The Executive Assistant will lead projects from inception to completion with ability to work independently and with minimum supervision.

Responsibilities:
Manage calendar for internal and external meetings for CHRO and the HR/Legal team as assigned
Arrange all aspects of requested meetings, including: location, travel, accommodations, meeting rooms, catering, equipment/supplies, etc.
Coordinate all travel arrangements and reconcile expense reports
Plan and oversee office events: annual leadership conference, summer outing, holiday party, birthday celebrations, and volunteer activities
Serve as office manager, including building liaison
Manage and delegate responsibilities of reception team, including ordering office/kitchen supplies and maintaining/organizing copy/meeting/supply rooms
Serve as a collaborative member of the Human Resources and Legal teams
Manage electronical billing system for the Legal Team
Administrative/logistical support for board meetings
Additional duties as assigned

Qualifications:
Required Qualifications

Bachelor’s Degree from an accredited college or university
Minimum of 3 years of experience supporting senior/executive leadership in a fast-paced environment
Excellent analytical, planning/organizational skills with strong attention to detail
Ability to work on competing priorities simultaneously and to turn on a dime as priorities shift
Proven ability to work under tight deadlines and pressure in a composed manner
Proven ability to handle confidential material with discretion and professionalism
Must have excellent customer-service orientation, high degree of professionalism, and be a strong team player
Preferred Qualifications

5-7 years of experience supporting C-level executives
HR or Legal business exposure
Strong knowledge of MS Office; Excel, Word, PowerPoint, Outlook and Concur
Budget oversight
Electronic billing oversight (i.e. The Legal Tracker)
