The Administrative Assistant is responsible for all day-to-day aspects of office administrative support at our high-pressure service center. This will include providing administrative and project support, coordinating maintenance of the office, and organizing office events. Other responsibilities include working with other teams on tasks such as employee on-boarding and helping interface with IT support and Building Administration.
The Administrative Assistant should have previous experience in a similar environment and be able to handle most responsibilities with minimal oversight and be able to identify and resolve problems in a timely manner, developing alternative solutions.
The Administrative Assistant should be a good communicator and self-motivated professional with excellent interpersonal skills and general professional office business acumen.
Computer skills will be required to accomplish this role effectively.
Duties and Responsibilities:
Responsibilities will include, but not be limited to, the following:
Office Services
- Serve as main point of contact for building management and security, including maintaining badges and access control, service requests and similar
- Assure organization and professional appearance of office, and coordinate with cleaning service
- Handle front desk functions, receive and check-in visitors and guide them to their meetings
- Prepare meeting rooms and break down meeting settings after the meeting
- Receive and handle deliveries as required
- Handle office calls to the main line and contacts received from internal and external parties
- Organize and support regular office events (birthdays, lunches, meetings, social events, etc.)
- Maintain stock of office supplies, including snacks, beverages, for office kitchen and meeting rooms
- Handle office access badge system, issue employee and visitor badges
- Handle general administrative tasks (e.g., support commercial invoice management, shipping, service requests, field tech expense tracking)
- Handling office correspondence, including overnight mailings and receiving mail
- Support invoice preparation and issuance for clients
- Assure all company information, and signage are displayed and kept in accordance with requirements
- Coordinate office seating arrangements (furniture etc.) for a growing team
- Scheduling and tracking trainings and classes
- Collecting and preparing all information for invoicing of repairs and site services
- Review service techs hours vs. signed time sheets from client
- Support service techs with field service reports
Administrative Travel Support
- Assist with travel planning for office employees, booking travel as needed
- Support expense tracking and submission of expense reports for management team
Recruiting/HR Support
- Support on-boarding and training of new employees
Sales Team Support
- Support Sales Team with handling correspondence, preparing hard copies for proposals, filing documents, etc.
- Assistance in updating presentations, updating branding, etc.
