Job description
Key responsibilities
To manage the administration and client service of a portfolio of high net worth clients
To work effectively within a Trust team to ensure the delivery of efficient client service
To assist and supervise junior team members with the administration of their portfolios
Client Service / Relationship

Responsible to the relevant manager for ensuring all administration and client service issues are attended to in accordance with the office service standards and the company’s policy and procedures manual in force at any given time
Attendance at and preparation for client meetings with File Director/Manager
Development of professional relationships
Ensuring that correspondence and telephone contact on all matters with clients and/or their advisers is carried out in a timely and efficient manner
Assist file Manager/Director in providing any other relevant information to clients and/or advisers as required
Effective liaison with staff from other group offices on all referred client matters
Ensure the delivery of a quality service for all clients assigned
Develop and maintain close relationships with clients
Administration of Client Structures

Consideration of client requests in consultation with file Manager/Director on technical/legal matters or any sensitive issues where appropriate
Responsible for the efficient day to day management of all client affairs in accordance with the terms of the appointment including the maintenance of all relevant Trust/Company records within the portfolio
Arrangement of the opening and closing of bank accounts and liason with relevant banks in relation to transactions
Complete all tasks that arise as a result of the annual and periodic client reviews and other internal control reviews in a timely and efficient manner
Provide ongoing cash management in respect of the client portfolio including monitoring of cash balances, fixed deposits and overdrafts
Maintain an awareness of the performance of clients’ investment portfolios against stated benchmarks, bringing any potential problems to the attention of the File Manager/Director
Maintain effective control over priority work flows and create timely diary reminders
Review of agreements and trust documents (under supervision)
Check financial accounts and reports (under supervision), where required)
Risk Management / Compliance

Ensure all clients within your portfolio remain compliant with local and international legislation at all times
Effective liaison with the Compliance and Company Secretarial teams
Complete accurate annual and periodic file reviews within prescribed timescales, as per company policy
Timely follow up of all action points following file reviews
Be familiar with local AML legislation and regulations
Report complaints, operational risks, suspicions etc. in accordance with internal procedures
Develop an awareness and ability to avert potential risk issues and bring to the attention of the file Director
Financial / Office Administration

Complete timesheet accurately and promptly
Review client profitability with file Manager/Director periodically and assist with the identification of any remedial action as required
Ensure all fees for the client portfolio are charged and collected on a timely basis
Effective liaison with the finance and other support teams
Ensure that bookkeeping on the client portfolio is kept up to date, in accordance with the agreed timetable
People Management

Utilisation of junior administrators by effective prioritisation and delegation
Support the Trust Manager(s) with the development and coaching of team members and new staff, providing on the job training and assistance as required
Bring to the attention of Managers any internal/external training and development requirements of junior team members
Guide junior administrators on more complex client matters
Contribute to the overall effectiveness of the team and promote good working relationships throughout the office
Participate actively in team meetings

Qualifications and other requirements
GCSE or equivalent standard
Minimum Category C qualification under local legislation, holding a Table 5 qualification
Minimum of 5 years’ experience in trust and company administration
