Position Information

The Executive Assistant provides executive administrative support to the Vice President & Chief Communications Officer, maintaining a high level of confidentiality as required. Under direction, performs professional, administrative work involving moderate responsibility, complexity and variety. He/she makes efficient use of resources to help achieve departmental goals. Performs administrative, research and technical duties related to one or more of the following: human resources, budgeting, purchasing, management analysis, property management or other related areas of administrative management.


Internal and external contacts include executives, administrators and employees from all divisions and departments across the enterprise. External contacts include auditors, representatives from federal, state and local regulatory agencies and vendors.

Manages and coordinates the VP & Chief Communications Officer’s schedule, internal and external call volume, prepares and formats presentations, handles information requests, takes meeting minutes, prepares correspondence, etc.
Initiates routing administrative procedures to monitor and control expenditures for programs and/or small work units.
Assists the Communications team with various duties involving contacting media, preparation of press kits, backgrounders and parking accommodations.
Collaborates with related campus academic and administrative departments to assure all planning issues are addressed in a way that is representative of a world-class university.
Assists with reconciliation of monthly financial reports using the internal accounting systems: reviews expenses, manages the purchase requisition process, maintains and reviews purchasing and travel card transactions, accounts payable, monitoring revenue and reimbursements for campus filming.
Writes memos, reports and other correspondence on behalf of the Vice President. Conducts training courses on administrative policies and procedures for OUC. Gives technical assistance to staff on administrative assignments.
Performs other job related duties as assigned.

Considerable knowledge of administrative practices and procedures and budgeting.
Customer-service oriented and excellent interpersonal skills
Excellent oral and written communications skills, including professional style writing.
Strong writing and editing skills.
Must be proficient in Microsoft Office Suite, including Excel, Word, Power Point.
Proven ability to juggle multiple priorities and meet deadlines. Excellent organizational and time management skills.
Collaborative, team-player.
Ability to establish priorities, meet deadlines and deliver quality customer service.
Ability to think critically and analytically.
Demonstrated attention to detail to ensure accuracy of information.
Ability to establish and maintain effective and harmonious work relations with faculty, staff, students and the public, and work effectively with people from a variety of culturally diverse backgrounds.

Bachelor’s degree or related experience, education or training in which one has gained the knowledge, skills, and abilities required for full performance of the job may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience. Minimum of 3 years of experience, preferably in communications, media or related environment.
