International Risk Management Institute (IRMI), a publishing company for the risk management and insurance industry located in North Dallas, is looking for a new Conference Manager. This position will primarily be responsible for managing employees in the Conference Management department as well as overseeing and implementing specific training and event initiatives.
Consistent attendance during regular work schedule, when not traveling, to maintain effective operation of the Conference Management Department, including supervisory duties of planning, assigning and directing work
Maintain a positive and patient attitude and remain calm in difficult or stressful situations
Prepare and implement effective speeches and/or verbal presentations to IRMI's management, public groups, and boards of directors
Identify problems and/or areas that can be improved with regard to Conference Management, collect data and other information related to problems and/or improvement, establish facts relevant to problems and/or improvement, develop and implement effective solutions to problems and/or improvement
Specific Duties and Responsibilities
Set goals and objectives for Conference Management Department
Develops strategy and vision for all conferences and events for IRMI
Identifies conference locations and negotiates optimal contracts for IRMI
Develops project plans for all conferences and events
Develops and monitors budgets for Conference Management Department and all conferences and events; presents budget to Executive Committee for review and approval
Strategically navigates and manages change initiatives for the continual improvement of IRMI's conference programs
Assist with Strategic Plan work groups as assigned
Coordinate pre-event logistics, schedules, staffing assignments, staff travel and needs for room set-up, audio visual, menu selections, on-site/off-site events and activities, ground transfers, VIP needs, etc.
Develop meeting resume, F&B resume, on-site work flows for each event and distribute to all involved parties; review and approve BEOs
Work with internal event clients and the Conference Management Department to coordinate all tasks and deliverables; develop timeline for inclusion in formal project plan
Build and nurture vendor relationships; review vendor contracts and invoices
Track meeting and event expenditures into approved event budget kept by Director; continually identify, propose, and implement cost-savings opportunities
Review and audit all invoices associated with events; ensures timely reconciliation of expenses and payment processing
Consistently seeks and recommends innovative ideas as part of a high-performing team and culture
Performs other related duties and tasks as necessary or as assigned
Bachelor's degree from four-year college or university, 10+ years related experience, or equivalent combination of education and experience required.
10+ years' experience in conference management for programs of 2,000+ attendees required.
Basic knowledge of Cvent registration software a plus
Ability to work flexible hours and travel up to 30%
Ability to lift/carry boxes up to 50lbs and stand/walk for long periods of time
Professional business communicator, high level of customer service and excellent attention to detail
Ability to multi-task and work under pressure to hit firm deadlines

Valid driver's license
CMP or CMM designation
