Position Overview
The Office Assistant supports the team by creating a welcoming environment while supporting the monitoring and maintenance of office operations.
Essential Job Functions/Duties:
· Greet and welcome clients, co-workers, and visitors as soon as they arrive at the office. Maintain office security by following safety procedures and controlling access via the reception desk.
· Direct visitors to the appropriate person and office.
· Efficiently answer calls on multi-line phone system using professional courtesy and directing calls as appropriate.
· Receive, sort and distribute daily mail/deliveries.
· Manage company calendars and scheduling.
· Prepare conference rooms for client and staff meetings.
· Coordinate food, beverage and activities for team events and meetings.
· Assist in document procurement, data entry, and organization of files.
· Perform other administrative duties such as data entry, filing, photocopying, transcribing and faxing.
· Effectively organize workflow to maximize the value of time worked.
· Ensure office and break room is tidy and presentable and adequately stocked with supplies.
· Maintain supply inventory; order supplies as needed.
· Oversee office equipment, loading paper, changing ink, minor fixes as necessary.
· Perform courier duties; plan the most efficient route to coordinate deliveries, pick-ups and tasks.
· Accurately record and report mileage and time allocated for courier duties.
· Complete occasional light manual office work tasks, ie. Moving furniture, stocking/cleaning team refrigerator, maintaining break room, wipe conference tables/chairs/desks as needed, etc.
· Take initiative to create processes to benefit the office and the Company.
· Comply with the company policies and procedures.

Required Qualifications:
- Proven work experience as an Office Administrator, Administrative Assistnt,Receptionist, Front Office Representative or similar role preferred.
- Proficiency in Microsoft Office Suite to include Word, Excel and Outlook required.
- Exceptional organizational and project management abilities.
- Ability to work well with others.
- Hands-on experience with office equipment (e.g. fax machines and printers).
- Professional attitude and appearance.
- Articulate written and verbal communication skills.
- Ability to be detail oriented.
- Ability to be resourceful and solution-driven when issues arise.
- Multitasking and time-management skills, with the ability to prioritize tasks.

- High school diploma or equivalent.

Physical & Mental Demands and Working Conditions: Requirements

· Position requires 20%+ travel within the local area, traveling to office and business locations to conduct business transactions. This involves exposure to weather conditions, traveling distances to and from buildings, and operating a vehicle.
· Must be able to remain in a stationary position when in the office.
· Frequently communicates with co-workers and clients in person and over the telephone to answer questions and provide assistance.
· Must be able to articulate concepts and ideas in a clear, concise and accurate manner.
· Must have the ability to assess problems and provide solutions and use good judgment.
· Ability to reach with hands and arms, lift up to 40 pounds, climb/balance, stoop/kneel/crouch/crawl and push/pull file cabinet drawers.
· Must be able to identify and assess information on computer screens and written reports and documentation and record accurate written and electronic messages and reports.
· Requires the ability to distinguish letters or symbols and eye/hand coordination.
· Ability to Comply to the Company Drug and Alcohol Policy as a requirement of a position that could adversely affect the safety of others.
