The Knowledge is Power Program (KIPP) began in 1994 in Houston, Texas. Today, there are over 180 KIPP schools across the nation serving more than 70,000 students. KIPP ENC currently manages five schools in Northampton County, Halifax County and Durham County.
The Office Manager’s primary responsibilities will be to serve as the first point of contact for families, the community and our staff. The Office Manager will support office administration and key communications. The Office Manager must value students and families and must view their role as critical to enabling teachers and staff to achieve our mission. The Office Manager must have excellent listening and communication skills, keen attention to detail and the ability to manage many, disparate tasks and responsibilities. The Office Manager will report to the Director of School Operations and work closely with the School Leader, Director of Operations and school other regional or school based staff to deliver on key expectations and services.
Primary Responsibilities Include:
Manage school office, answer phones, manage mail and maintain all office equipment.
Coordinate and track all visitors and tours.
Create and maintain online and paper calendars for the school and School Leader.
Call the homes of late/absent students daily. Maintain attendance records and discipline files.
Respond to parent questions and concerns and direct them to DSO when appropriate.
Coordinate communication to parents. Includes email, social media and mass communications.
Assist with scheduling and facilitating home visits with families.
Help plan logistics for school events, including but not limited to, Saturday School, fundraisers and activities.
Assist in the development and distribution of student, staff, and parent handbooks.
Maintain substantial stores of supplies, paper and materials. Monitor the health of copiers, printers, phone and projectors.
Student Information Responsibilities
Organize, manage, and lead the student enrollment & registration process.
Collect all student records for all students, including immunization records, lunch applications, home language surveys, emergency contact forms, and media release forms.
Create and maintain student files and medical records.
Help develop and manage report cards.
Maintain testing information.
Financial & Operational Duties
Collect, track, deliver and report all monies, POs and receipts to the Director of School Operations for reconciliation.
Coordinate purchasing for materials, uniforms, equipment and supplies. Collect and provide documents and receipts to the Director of School Operations.
Support Director of School Operations with transportation, food service, custodial procedures, and data management as appropriate.
Assist with any miscellaneous duties, tasks, and projects that may be deemed appropriate by the Director of School Operations and School Leader.
Warm, firm demeanor; ability to work well with children and adults.
Outstanding organizational skills and high attention to detail.
Superlative written and oral communication skills.
Strong computer skills, including high level of proficiency in Microsoft Office. Understands how to build data tables, lists and reports such that information is conveyed clearly and accurately.
Experience managing an office or organization.
Experience using school and state student information systems.
