The Sales Coordinator is an integral member of the Sales and Marketing Team, collaborating with the VP of Sales and Marketing, the Sales Manager, and a team of Community Managers. The Sales Coordinator is a process-driven role, with a high level of attention to detail, urgency, and the ability to seamlessly communicate with buyers, real estate agents, lenders, appraisers, and project managers.
What you’ll do:
- Review and process all new contracts received from the sales department.
- Input sales details into our database for on-demand reporting.
- Pull, analyze and share regular reporting with the leadership team.
- Contact appropriate parties throughout the contract process, such as Realtors, buyers, appraisers, lenders, and project managers.
- Maintain contract files digitally.
- Create and process contract amendments and change orders.
- Support the Sales Manager with Community Manager communication and process expectations.
- Works with Community Manager daily to ensure that all pertinent documents have been signed and distributed to all appropriate parties.
- Works with lenders daily to provide copies of the executed change orders, amendments, and information regarding the status of construction.
- Provides documents and information to appraisers to ensure that appraisal values are as accurate as possible and account for all contracted upgrades and features.
- Responsible to oversee & secure execution of, as well as receipt of payment for generated change-orders and amendments.
- Processes contracts, change-orders, amendments and other contracted documents in compliance with internal company protocols.
- Reviews and discusses change orders with the Project Managers to ensure that any changes to the home are accurately executed.
- Collaborates with the title company for upcoming closings to ensure accuracy of final documentation, sales price, deposits, change-orders and closing dates.
- Identifies and makes recommendations on cost-saving measures focusing on improving process management and efficiency, aiming to reduce internal and external inefficiencies.
- Collaborates with various departments and internal team members to achieve the position objectives.
- All other tasks as may be assigned from time to time.
About you:
- Real Estate contract processing experience (preferred but not required)
- Experience with lending, real estate or similar contract processing
- Extremely organized and proactive
- Highly detail-oriented and process-driven
- Strong communication skills (in person, written and by phone)
- Ability to review and analyze data to aid in decision making
