Executive Administrative Assistant


ARC Technologies LLC is the leading manufacturer of RF and EMI absorbing materials for defense and wireless applications worldwide currently seeking an Executive Administrative Assistant supporting the VP/General Manager. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized and able to interact with all levels of staff in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. Expert level written and verbal communication skills, strong decision making ability and attention to detail are all equally important.

The Executive Assistant will be responsible for the coordination of and ensuring timely flow of information to and from the executive office. S/he handles details of a highly confidential and critical nature, and must function efficiently and effectively in a fast-paced professional environment.

Desired Skills and Experience

The ideal candidate will be dynamic, high-energy, organized, possess excellent judgment and able to proactively anticipate the needs and requirements of VP/General Manager and provide support as needed.

The selected individual will be responsible for the following efforts:

Manage daily schedule and calendar, ensuring that the schedule is known 24 hours in advance and keeping appointments and meetings on time or changing schedules when necessary.
Manage external contacts, proactively understanding who they are and be able to prioritize all visitors, calls and meeting requests.
Prepare and edit correspondence and communications. Review, summarize and prioritize incoming communications as necessary.
Coordinate meetings requiring the interaction with both internal and external constituents. Preparing meeting agenda; assisting with and providing research/background information, content development, and the creation of PowerPoint presentations.
Make travel arrangements and handle travel expense management. Proactively coordinating the pre-planning of trips with various internal functions and making necessary preparations.
Utilize extensive knowledge of company operations, policies, and department functions in performing duties, many of which are confidential in nature, with minimal or no direction.

Associate's Degree and 6+ years of experience supporting leadership positions preferred.
Demonstrated ability to handle confidential information appropriately.
Highly proficient in the following software programs: (Word/Excel/PowerPoint/MS Outlook). MS Project preferred.
Excellent written and verbal communication skills.
Must be a professional detail oriented person with an executive presence, maturity and judgment.
Strong problem solving skills that allow you to proactively anticipate the VP/General Manager’s needs providing support and resources in addressing issues.
Experienced in interfacing with senior executives and able to maintain a high degree of confidentiality.
Proven ability to work independently to prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
Eligible candidate must be: U.S. citizen, with the ability to obtain a Department of Defense Security Clearance.
