International manufacturing company in Toledo, OH is seeking an experienced Administrative Coordinator for Operations/Maintenance departments .
The Administrative Coordinator (Operations/Maintenance) will report to the Operations Manager. This is a non-exempt, hourly position of 40 hours per week Monday - Friday with some weekend work required during annual turn around and/or large capex projects on site. This position is always required to work onsite.
Word processing, spreadsheet, SharePoint maintenance, data base applications, and planning
Responsible for Fastenal cabinet reordering and inventory of production supplies only and will be the contact person for the service
Manage employee uniform service and be the contact person for the service
Ensure delivery of Fed Ex and UPS packages to the proper areas in the various receiving locations for Operations/Maintenance only
Responsible for SAP data entry in Operations and Maintenance
Accountable to analyze and manage department spend with respect to office supplies, off-site venues and catering expenses looking for opportunities to reduce costs
Accountable to analyze needs of Operations and Maintenance teams, develop and implement solutions with little direction
Accountable to systematically deliver new and innovative ideas to improve the Operations and Maintenance teams with respect to document management, control, information sharing, planning, communication, program management and tracking
Accountable for all new employee/promotion on-boarding for the Operations and Maintenance teams
Prepare and maintain a yearly activity calendar for the Operations and Maintenance teams to include both internal and external activities
Develop and implement system and process to track status of all requests made by Operations and Maintenance teams and follow up on requests to ensure they have been fulfilled
Helps to maintain conference room calendars
Attend meetings, as directed, to take notes and provide documentation after the meeting
Maintain, account for, and coordinate use of all department resources.
Take care of all administrative duties associated with seminars, travel etc.
Orders department supplies as required and stocking of routinely used consumables
Maintains document control guidelines and work processes in support of all Operations/Maintenance areas and programs
Assists with Paycor (payroll and LMS)
Update and maintain electronic files, filing structure and filing system work process for Operation and Maintenance teams
Arranges rooms, agenda, meals, media requirements
Takes lead on scheduling safety and other department meetings as directed by the Operations Manager and Maintenance Manager
Perform/support other duties as assigned
Preferred: Associate degree
Mandatory: High School Diploma
Preferred: 3 years of administrative/support experience
This position operates indoors as well as outdoor setting up to 50% of the time where exposure to all weather elements, dirt, and dust, unpleasant smells, and/or loud noises are possible.

While performing the duties of this job, the employee is regularly required to communicate and converse with employees, maintain a stationary position (standing and sitting), climbing, move/traverse, kneel, bend, and reach with hands and arms for extended periods of time
Pass an annual work physical and respirator fit test. The worker may be required to operate in close quarters, small rooms, and narrow aisles and passageways
In order to effectively perform the essential functions of this role, the employee will be required to meet the physical demands of the field, which may include ability to lift 50 lbs. for lengths of time in a repetitive motion to access file cabinets, office machinery, clothing racks, storage racks, etc.
Pass an annual work physical and respirator fit test
