Purpose and Responsibilities:
Administrative Assistant reporting to ICM Americas Regional Head of Sales. Role will support broader Sales & Service teams covering Financial Institutions and Non-Bank Financial Institutions (Brokers and Exchanges). Job requires daily interaction with Sales team and their associated clients.

Role will require performance of administrative duties for a team 11 professionals, plus act as backup for other Admin. Assistants within the group. Duties will involve coordinating calendars, scheduling meetings, arranging travel, preparing expense reports and participating in client related projects such as conference coordination. Assignments will include all aspects of office administration, including requesting supplies, booking meetings rooms, and receiving guests. Duties will also entail assisting in preparation of presentation material. Client interactions will involve coordinating discussions with very senior business executives and so you must have excellent communication skills (written and oral), be highly organized and extremely professional.

Job Requirements:
Excellent interpersonal and communication skills: Must be able to interact effectively with clients and coworkers at all levels
Must be very organized, able to prioritize tasks and manage time effectively
Capable of multi-tasking while handling varied assignments
Ability to work independently: Must be motivated and a self-starter who can complete assignments on time and with limited supervision
Good interpretive skills allowing for solid understanding of clients’ needs and ability refer callers to appropriate sales team members or to assist directly.
High attention to detail and accuracy
Must be able to assist sales teams in preparing for client meetings, visits and all aspects associated with coordinating events with clients
Ability to conduct client related research, web searches and/or directed lookups
Must be a team player and have ability to work effectively as part of a larger group
Must be able to prepare written documents, memos, letters, excel spreadsheets and other business documents accurately and error free
Solid ability to grasp new information and must possess excellent interpretive skills

Technical Skills:
Computer and Software capabilities - Word, Excel, PowerPoint proficiency required
Must be comfortable with computers and have a solid understanding of business software/applications used to meet job requirements, email systems such as Outlook, and other bank systems
Ability to work with outside vendors to meet business needs in regards to travel, catering, meeting coordination, and business conference facilitation
Highly organized and accurate in all aspects of the job
Additional language skills not required but would be a plus (German and/or Spanish)
