Serve as assistant to SVP/GM, International, Bobbi Brown and Vice President, Global Brand Finance, Bobbi Brown and La Mer. Support other administrative needs from Bobbi Brown International department and Bobbi Brown and La Mer Finance department.

1/ Provide administrative support to SVP/GM of International and Vice President, Global Brand Finance:

oCalendar/Schedule Management

oMonthly T&E Expenses

oTravel Arrangements

oSet Up/Organize Team Meetings and Events

oTeam Vacation Tracking

oOnboard/Set Up Accounts for New Hires

oMaintain Contact Lists

oGeneral Support (i.e. Excel, Powerpoint, general finance inquiries like travel authorization form, AMEX apps, pick up lunch if needed, gift bags, reservations, supply orders, file management, etc.)

oRecurrent meetings : Ensure that the recurrent meetings are happening as per schedule, and make sure that agendas have been sent (either to or from) as well as minutes

oAnticipate and respond to changing situations

2/ Support of the Bobbi Brown International and Bobbi Brown and La Mer Finance departments

Maintains International closet (products and assets) including new product & sample orders

Monthly meeting card expenses for the International Team’s Corporate Meeting Card

Process International-related & Creative invoices through SAP

Keeps International Share Drive organized and up-to-date

Proactively maintain up-to-date directories of International personnel

Book accommodation and manage schedules for any International visitors to NYO

Manage International travel budget with regular reporting to the SVP/GM, International

Support Finance department with preparation and distribution of Budget books and other key Finance presentations to senior management.


Bachelor’s degree or equivalent

3 years of experience as an administrative assistant supporting senior executives

Ability to work independently and with cross-functional team

Ability to prioritize and manage multiple projects with a high level of detail

Team player with ability to interface with many departments

Excellent interpersonal and communication skills (client services experience a plus)

Excellent organizational and time-management skills

Strong interest in International Markets

Maintain flexibility and a positive attitude in a fast-paced, changing environment
