Purpose of Position: Responsible for the daily operation of the Maintenance Office.

Tasks/Duties performed:
Receive incoming mail and mail outgoing mail from mail room twice daily. Open, date, sort and distribute
Answer multi-line phone. Take accurate messages
Complete purchase requisitions and keep accurate record of all transactions
Reception duties, including greeting salespersons and visitors to the Maintenance Office
Schedule appointments and keep calendar of daily meetings, etc.
Page appropriate personnel when maintenance emergencies arise
Open and organize Maintenance Office
Type all correspondence for the Director of Facilities
Update conference set-up paperwork on a daily basis
Staff absences recorded on a daily basis, using the swipe card system
Issue purchase order numbers when employees need to order supplies
Order supplies, after Director's approval
Maintain files for suppliers, buildings, grounds, blueprints, etc.
Issue time records, stating hours worked for staff, to Payroll
Generate staff time reports for personal leave and sick leave for all Maintenance personnel
Update insurance record. Check insurance expiration dates and mail requests for updates
Research records and files for past repairs
Keep vehicle maintenance records, New York Inspection and License updates. Schedule appointments for repairs

Minimum Qualifications:
High School diploma or equivalent
Previous office experience
Strong computer skills, especially knowledge of Windows based computer, MS Office, specifically working with word processing and Excel spreadsheets, Email and Internet
Ability to work with minimum supervision
Good interpersonal skills
Ability to work independently and cooperatively with departmental staff and entire campus community is essential.

Position is full time, forty hours per week for twelve months, non-exempt staff and may require additional hours during busy time.
