Job Title: Office Coordinator

Job Summary: The Office Coordinator plays a crucial role in ensuring the smooth operation of the office by managing daily administrative tasks, maintaining inventory, and providing exceptional support to staff and visitors. As the first point of contact for anyone entering the office, the Office Coordinator sets the tone for the workplace, and serves as a culture champion.

- Foster a welcoming office environment for employees and visitors
- Celebrator/Announcer of Successes (Client & Employee Wins and Milestones)
- EE Birthdays, EE Anniversaries, Client Anniversaries
- Track and manage crew rewards, ensuring accurate distribution and celebration of achievements.
Office Coordination:
- Answer phone calls, direct inquiries, and transfer callers as appropriate.
- Greet staff and visitors, ensuring connected with the right office personnel.
- Monitor and order inventory for office and break room supplies.
- Manage incoming and outgoing correspondence, including emails, mail, and packages.
- File and organize records, invoices, and other important documentation.
- Fixed Asset Support (Vehicle Fleet Management)
- Coordinate with vendors to order repairs for building maintenance.
- Manage relationship with Janitorial Services firm.
- Track and manage uniform inventory, ordering new items as needed.
- Maintain a roster of uniform allocations for each employee.
- Travel arrangements (with support from HR)
- CE/Conference Registration (with support from HR)
Qualifications:
- High school diploma or equivalent
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle multiple tasks and prioritize effectively.
Physical Requirements:
- Ability to lift office supplies and packages up to 20 pounds.
- Sitting, standing, and walking for extended periods. Work Environment:
- Office setting with a moderate noise level.
- Interaction with staff and vendors on a regular basis.
Work Schedule: 24 hours per week (Monday - Friday until 5pm)
