Operate FHC?s telephone exchange system during scheduled hours; receiving and transferring telephone calls, announcing callers, taking brief messages and passing these on via the email system or connecting callers to staff members personal direct line or voicemail.__
Ensure all voicemail messages to main office number are taken and directed to staff members. Maintain and ensure that the answer message is appropriate.
Report telephone equipment and line faults to the IT Helpdesk.
Greet and welcome visitors to the office during scheduled hours, ensuring they sign in and out of the visitor?s book and informing the relevant member of staff of their arrival.
Provide temporary badges to guests after signing in and ensure they are not allowed in any of our offices without an employee escort.
Maintain the visitor?s book keeping a record of visitors signing in and out of the building.
Monitor employees coming into the office ensuring that all employees use their own badge and swipe into our office space.
Provide temporary badges for employees that have forgotten their badge.
Monitor and ensure that the reception area is kept tidy and projects a business-like image.
Check and sign for deliveries.
Provide administrative and general support to Human Resources and Training such as printing materials, creating binders, etc.

Excellent communicator, comfortable and credible with people at all levels.
Experience working in a fast paced environment.
Able to work by self and achieve deadlines.
Responsible for understanding and adhering to FHC?s Information Security Policy and Procedures.
Other duties as assigned.
Previous experience of telephone exchange operation preferred.
Familiarity with the use of office equipment (i.e. fax, photocopiers, telephone exchange systems s, etc.).
Excellent verbal communication and interpersonal skills with a good telephone manner.
Competent written skills.
Must be able to complete tasks with a high level of accuracy.
Ability to work on own initiative and take responsibility where necessary.
Basic proficiency with Internet Explorer, Microsoft Excel and Word, Outlook email, and Adobe Acrobat.
