Construction Contract Administrator

We are Looking for a Construction Contract and Insurance Administrator. Candidates must be highly motivated and able to perform a wide range of administrative and project support tasks.

Primary responsibility:

Perform administrative tasks to support the estimating department, project managers, and field personnel, including keeping meticulous project tracking records and files from start to finish, including the timely distribution of subcontracts, insurance certificate tracking, correspondence and other project documents. Generate, maintain and manage reports. Take a lead role in ensuring that all insurance certificates and business licenses are up-to-date.

  • Conduct Contract compliance documentation
  • Send out Contracts and follow up, ensure contractor and contract compliance
  • Ensures that subcontractor/supplier complies with required Insurance Coverages
  • Contact subcontractors for any outstanding contract and insurance items
  • Ensures all documents are stored according to company policy, maintain detailed and organized files
  • Maintains and tracks contracts and insurance policy information
  • Support project management team and field personnel with the distribution of subcontractor information.
  • Update and Maintain Job Procedures
  • Generate and maintain reports

Qualifications and skills

Proven office management, administrative experience (minimum ____ years)

  • Proficient with MS Office Suite and Adobe, ability to proficiently operate multiple software technologies ability to quickly learn new software.
  • Knowledgeable about the construction industry
  • Professional and accurate correspondence via email to Subcontractors and vendors
  • Attention to detail and ability to spot error and inconsistencies
  • Excellent reading and language comprehension
  • Customer Service oriented attitude with ability to work closely with internal and external project teams
  • Ability to work in high pressure situations, prioritize and meet deadlines
  • Strong organizational skills and attention to detail and problem solving skills
  • Excellent time management skills and ability to multi-task and prioritize work
  • Ability to ensure accuracy and implement controls to prevent and detect errors as needed
