As the Executive Administrative Assistant and Operations Partner, you are part of the foundation of Verb. We are looking for someone who is passionate, energetic and agile who acts professionally while demonstrating a clear communication style. The foundation of this role will be supporting our VP of Applied Research and Technology – the selected candidate will anticipate their needs, help them stay focused, resolve issues before they arise, and go the extra mile. A successful person in this position will also partner with the Applied Research team members to help drive results on various projects. This experience will allow the candidate to be exposed to many different aspects of our business.

Candidates must be local to the SF Bay Area and to commute daily to Mountain View, CA.

Key Accountabilities:
Responsible for calendar management and coordinating schedules with senior leadership team
Coordinate visits and interface with clinicians, subcontractors or partners; Be the face of Verb to host these visitors while they are onsite
Assist in the preparation of high caliber presentation material for leadership updates and quarterly Board meetings
Manage special projects and external subcontractors
Coordinate complex schedules and travel arrangements for Applied Research team
Submit and reconcile expense reports weekly in Concur
Arrange for payment of contractors and vendors by liaising with Accounting and Purchasing departments
Attend meetings, take and record minutes of meetings and distribute the same as instructed
Plan and schedule meetings, presentations, and other office related events
Coordinate conference room scheduling and catering for larger meetings as needed
Professional Experience/Background to be successful in this role:
Master calendaring experience dealing with complex meeting and travel schedules
Excellent time management skills and ability to multi-task and effectively prioritize work
Attention to detail and problem solving skills
Technology savvy; Experience with MS office, Google Suite, expense tracking platforms, etc.
Experience managing projects, budgets and milestones
Strong verbal, written communication and interpersonal skills
Able to pivot at a moment’s notice due to last minute changes to ensure an organized experience to internal and external clients.
BA/BS degree or equivalent practical experience
Passion for and experience in the healthcare industry
Experience supporting research groups or related areas within engineering and R&D is a plus!
