The Citi Global Ethics Office, part of ICRM, is responsible for establishing and communicating Citi’s ethical values and principles through Citi’s Code of Conduct and Code of Conduct training, managing Citi’s Ethics Hotline and the investigation of concerns received from the Hotline, and reporting to internal and external stakeholders, such as management, Board, regulators and auditors.
This position will provide support to the Chief Compliance Officer – Ethics and the approximately 30-person Ethics Office team within Independent Compliance Risk Management (ICRM). Duties are complex and confidential requiring the highest level of discretion and independent judgment. Employees within this role will have continuous contact/communication with high levels of internal management as well as senior management with external firms.
Provide administrative support to a senior-level executive and team
Maintain frequently changing calendars through Outlook and understand Executive's priorities to effectively manage that calendar
Coordinate all aspects of executive level appointments, meetings, receptions and conference calls / video conference / Live Meeting for multiple time zones
Organize and secure highly confidential company and employee information
Handle incoming calls and be able to exercise independent discretion when responding to inquiries
Prepares and reviews materials and correspondence for meetings; ensures Executive is prepared
Assist with creation/modification of presentations, spreadsheets, and other various documents
Coordinate frequent travel arrangements
Prepare, reconcile, and track expense reports on a timely and accurately through T&E system
Order supplies and process invoices through P2P system
Serve as back up support for other managers or administrative staff when required
Manage and assist in ad-hoc reports and special projects as needed often requiring independent discretion and follow up
Responsible to create communications and presentations for internal and external meetings
Technical Skills –
Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint)
Ability to gain a strong command of new systems (P2P for invoicing, and Concur for Citi Travel & Expense reimbursement management)
Non-Technical Skills –
5-10 years prior experience preferred
Bachelor’s degree preferred
Expert in multi-tasking, organizing, and prioritizing a must
Strong written and verbal communication skills
Detail oriented with ability to work independently and prioritize workload
Demonstrates a high level of integrity and professionalism
Energetic, responsive team player with the interest to take initiative and work in a fast-paced environment
Ability to work 8:30am-5:30pm and be flexible for overtime as needed
The selected candidate will be required to work in both our Jersey City office at 480 Washington Boulevard and our NYC office located at 388Greenwich Street
