Pioneer Counseling - Rainier Clinic in Seattle supports clients in their recovery from mental health and substance use disorder issues.
The Program Assistant supports the PACT contract and is responsible for assisting with scheduling for patients and professional staff, documenting daily team meetings, and assisting with the communication of information (both written and verbal) to relevant stakeholders and community partners.
POSITION DUTIES & TASKS
Administrative/Billing Support (65%)
Prepares monthly reports including: Billing, Service Authorizations, and Program Statistics, as directed by Team Supervisor, Regional Treatment Director, or other designated management.
Completes office management duties and is responsible for assisting with the scheduling process for the team, maintaining sufficient office production, maintaining patient charts and records, and responsible for managing confidential information.
Checks billing logs for completion/errors.
Enters billing charges/corrections.
Opens client episodes, prints face sheet as requested, and enters discharges/closing client episodes.
Compiles, copies, sorts, and files records of office activities, business transactions, and other activities.
Operates office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
Transfers information and documents as required to other programs via facsimile or mail.
Aids in general management of center including running errands as assigned
Assists in recruitment, selection, development and scheduling of staff as requested by supervisor. Ensure staff compliance with credentialing & privileging.
Clinical & Care Coordinator Support (20%)
Assists Team Supervision with basic clinical administrative duties including: referral coordination and support with coordination of treatment plans.
Assists medical staff with nursing administrative duties including: medication and lab coordination, scheduling appointments, and hospitalization coordination.
Creates patient records, clinical packets, and labels.
Quality Assurance (10%)
Maintains quality of care consistent with or exceeding standards set by State of Washington regulations, and any other accrediting and/or contracting bodies with whom Pioneer Human Services may be contractually or otherwise committed to insofar as the delivery of services are concerned.
Engages in ongoing program planning and development as integral member of PACT team.
Performs Other Duties as Required (5%)
Work Setting, including hazards:
Work is performed almost exclusively indoors in an office environment, outpatient clinic.
May include travel with team into the community.
Exposure to hazards is limited to those commonly found in these various environments.
Schedule (i.e. hours and days):
Expected schedule is generally Monday - Friday, 8:00am - 5:00pm. May vary depending on business needs.
Some travel is required, and is typically local or regional, conduct business, or attend or provide training. Therefore, incumbent must be able to independently travel to alternate work locations as needed. Driving record acceptable to company's insurance carrier if using a company vehicle.
Tools & Equipment:
Duties require the use of standard office furniture and equipment (e.g., desk, filing cabinet, computer, printer, telephone, fax machine, copy machine, etc.)
Likely to work with patients who have both chemical dependency and mental health disorders.
Likely to work with individuals who have criminal histories and/or identified criminogenic risk factors.
Patients may experience and demonstrate symptoms of behavioral health crisis.
Three or more years working in an office setting.
Must be able to participate in the program team management process in a functional manner.
Must be able to make positive use of professional supervision.
Basic Computer Skills with the ability to use MSWord, Excel, Outlook and/or PowerPoint
Current First Aid and CPR training or attain within 30 days of hire.
Must obtain AAC or other relevant WA DOH issued credential within 30 days of hire.
The ideal candidate for this position will possess strong organizational skills, ability to learn quickly, ability to work as part of a team and will exhibit interest and dedication to this role.
AAS or Bachelors degree in office management or related field.
Must have advanced computer and typing skills and have a good oral presentation for front desk duties and phone etiquette. Must be able to follow written and verbal directions, to record basic data, and report observations to supervisor.
Experience in chemical dependency treatment, or working with individuals with multiple co-morbid disorders; advanced training or education.
Experience with crisis intervention/verbal de-escalation or willingness to participate in related training.
Understanding of psychosocial rehabilitation and clinical treatment and experience with the mental health system including care management, authorizations, private insurance coverage, reimbursement rates, managed care codes and documentation.
