JOB SUMMARY
Reports to the Human Resources System Manager of Employment & coordinates the applicant intake and reception duties for Human Resources (HR). Partners with and serves as a backup to the HR Specialist and in that role is responsible and accountable to efficiently coordinate all aspects of new hire and non-employee processing according to federal, state and Forrest Health guidelines.
Performance Expectations:
- Assist customers who visit the HR lobby as needed with making application for employment, troubleshooting computer issues, administer pre-employment assessments to tests as needed.
- Answer incoming calls and direct to the appropriate resource.
- Efficiently route inquiries to the appropriate resource for resolution. Determine purpose by asking follow-up questions to determine to the appropriate resource.
- Open, Close, and maintain the lobby daily.
- Responsible for all employment verification inquiries.
- Coordinates supply orders and invoice payment through LAWSON.
- Responsible for scanning new hire files and other various HR documents to employee files.
- Assists with preparing new hire & non-employee files for onboarding appointments.
- Assists with processing new hires for onboarding.
- Assists with creating and distributing badges appropriately.
- Responsible for entering E-Verify for new hires each week.
- Responsible for maintaining I-9 records for current and terminated employees.
- Ensures that new hire information is accurate in LAWSON.
- Distributes all incoming mail and faxes.
- Perform a variety of clerical functions as assigned.
- Maintains strict confidentiality for all department and hospital information as appropriate.
- Exercises a high degree of tact, poise, and patience.
- Demonstrate knowledge and skills to appropriately communicate and interact with all customers/visitors of all age groups while being sensitive to their cultural and religious beliefs.
Qualifications
Education/Skills:
High school diploma or equivalent required. Higher education preferred. Typing speed of thirty-five WPM required. Computer literacy required. Must be proficient with Microsoft Suites, including Outlook.
Work Experience:
A minimum of one year of customer service/receptionist experience required.
Mental Demands
Must be courteous, diplomatic, & cooperative while working with all customers (including applicants, employees, hiring managers, peers and manager) and use tact, patience & understanding in communicating with them. Considerable initiative, judgment, & ability for decision making skills required. Must have the ability to communicate on all levels & possess a sincere interest in helping people. Abilities need to be flexible to accommodate the variety of tasks associated with HR Operations. Must practice good guest relations at all times.
