Reporting directly to the General Manager, we are currently seeking a highly professional, organized, dependable, and front-facing Project Administrator to carry out a variety of billing and administrative construction job related activities for our busy and growing Orlando, FL office.

RESPONSIBILITIES

Provides direct support to General Manager and Project Supervisor(s).
Assists with vendor and sub-contractor communications, manages faxes and project documents, arranges for and manages labor, material and equipment needs and requests.
Prepares, tracks and compiles all required field data.
Collects all daily reports, timesheets and sign-in sheets, and material tracking. Reviews and organizes information for the Project Manager..
Assists with preparation of contracts, subcontracts, change-orders, insurance, and other correspondence. Participates in project scheduling and provides accurate and up to date information on time sensitive material. Interacts with vendors, contractors, employees.
Manages expense reports for field personnel.
Organizes and distributes daily work schedule and job numbers.
Provides administrative support to General Manager and Project Supervisors.
Available by telephone on an as-needed basis during evening and weekend hours.
Available for travel on an as-needed basis for emergency CAT situations.
Answers Company telephone line and directs calls.
Creates and maintains all billing.
Other duties as may be assigned.

SKILLS & EXPERIENCE REQUIRED
Minimum three-to five years’ experience in an office environment as a front-facing Office Manager or Administrative Assistant.
Superior interpersonal skills and ability to interact with leaders, staff, visitors, and vendors with a highly professional demeanor and strong customer service skills.
Three years of admin / billing experience preferably working in construction or related industry.
Proven ability to execute responsibilities independently and effectively in a fast-paced environment with minimal supervision.
Proven ability to prioritize effectively and handle multiple projects simultaneously.
Exceptional oral and written communication skills.
Must have strong organizational skills and be punctual and reliable.

TECHNICAL SKILLS REQUIRED

Extensive level knowledge of MS Office Suite (Word, Excel, Outlook, & Power Point)
Advanced level knowledge of Excel (e.g. ability to create spreadsheets and formulas)
Solid knowledge of Adobe Pro and ability to open, convert, and edit PDF files
Timberline accounting and T & M Pro Billing software experience or knowledge preferred
Experience working with diverse technology and software systems

OTHER REQUIREMENTS
Physical ability to perform the work.
Must pass a pre-employment drug screen and background check.
Must have a valid driver’s license and clean driving record.
Knowledge or work experience in the disaster restoration field is preferred.
Willingness to learn and improve your skills.
