About the Role:
Prospect Schools is seeking an organized, flexible, and mission-driven Office Manager & Central Office Support to join us in support of our growing network of schools. The ideal candidate is fully dedicated to the mission of Prospect Schools and to supporting the success of our students and families. This person will report directly to the Special Assistant to the
CEO and be responsible for managing a variety of clerical and administrative duties. These tasks include greeting staff, answering phones, taking messages, managing email and mail correspondence, calendaring, invoicing, supporting network events, and ordering office supplies. This person will be the first person staff see as they walk through the Treehouse (Central Office) door, and we are looking for an individual who will be friendly, helpful, and professional. This role is fully in-person in our Downtown Brooklyn Treehouse (Central) Office. This role does not have remote flexibility.

Front Desk Management:
- Greet visitors and clients in a professional and welcoming manner.
- Answer and direct phone calls to the appropriate parties.
- Manage incoming and outgoing mail and packages.
- Maintain a clean and organized reception area.
Office Coordination:
Coordinate with various departments and staff members to ensure efficient communication and workflow. Coordinate and execute office purchasing, maintaining office supplies, and assist with supply inventory control. Organize office events, meetings, and conferences.
- Manage copy machine supplies, printers, and other office equipment and office technology (conference calls, Zoom, room reservation system, etc.).
- Plan social events for the Treehouse Team and appreciation of TH staff (birthdays, maternity/baby showers, weddings, transitions, etc.)
- Purchase and maintain inventory of marketing collateral + “swag”.
- Ensure clear systems and management of office space requests and use.
Administrative Support:
- Provide administrative assistance to members of the Chief team, including calendar management, coordinating meetings, credit card reconciliation, coordinating travel arrangements and accommodations for the chiefs, meeting support, and other duties as assigned.
- Support network events hosted by CEO & Treehouse
- Assist with special projects and tasks as assigned
Qualifications:
- Proven experience as a receptionist or administrative assistant.
- High School Diploma or equivalent with at least 3 years of relevant experience.
- Excellent communication and interpersonal skills.
- Strong organizational skills
Strong proficiency in Google Suite (Google Calendar, drive, Gmail, presentations, doc, sheets) Attention to detail and problem-solving skills.
- Ability to prioritize tasks and work independently.
- Discretion and confidentiality in handling sensitive information.
Preferred Qualifications:
- Qualifications listed above and the following;
- Knowledge of office management systems and procedures.
- Familiarity with basic accounting principles for expense tracking.
- Bachelor's degree or 3+ years of equivalent work experience.
- Experience working in a Non-Profit or Charter office setting.
Working Conditions:
- This position operates in a professional office environment.
- Standard office hours are Monday to Friday, 8:30 am to 4:30 pm (No remote flexibility)
- May require occasional lifting and moving of office supplies or materials.

Salary:
Employees at Prospect Schools are provided with a competitive salary. Our salaries are set through a lens of equity, and based on an individual’s skills, education, and years of experience relevant to the role. The salary for this role is $65,000.
