I) Job Purpose
Responsible for administrative support functions for Outreach Services program. Business functions include accounts payable, data entry, purchase/supply requisitions, cash collections, scheduling, client records, clinic support, filing, typing and registrations.

II) Essential Functions
A. Provides typing and clerical support services

Accomplishes designated typing within deadline dates
Makes copies of documents as required
Maintains work area in a neat and safe manner
Creates, updates and maintains spreadsheet documents
Corrects errors on paper and in the computer as soon as notified
Creates check requests and vendor profiles
Makes travel arrangements for staff as needed

B. Assist in reception of clients and visitors

Greets all visitors and clients in a polite manner
Maintains door security
Determines reason for entry in a polite, helping manner
Notifies staff of arrival of clients and visitors
Monitors visitors and clients while in waiting area
Ensures phones are answered within 4 rings
Answer calls in a polite manner and proper greeting form
Refers calls to appropriate staff including "crisis calls"
Takes messages in proper form
Provides information about program services
Ensures messages are delivered to proper staff or client

C. Maintain current and accurate manuals, files and documents

Develop and maintain filing systems for unit
Files administrative, billing, accounts payable documents within 3 days of receipt
Maintains client confidentiality
Does not leave client identity data in public view
Shreds client data when no longer needed

D. Manages Petty Cash Fund

Maintains proper cash accounts and expense records
Maintains fund in a current status at all times (total of cash, like cash and receipts will always equal fund).
Ensures funds are not commingled with other funds
Ensures funds are used only for correct expenses and does not fall below 50% on hand
Pass all audits

E. Orders supplies and materials

Maintains adequate office supplies and forms for unit with no disruption to client-care activities
Creates requisitions as needed to purchase / replenish supplies

F. Orders supplies and materials

Ensures adequate supplies and forms for unit operations are maintained with no disruption to client care activities
Prepares purchase orders and check requests obtaining appropriate signatures
Takes receipt on purchased items within deadlines
Verifies payable invoices and prepares payment documents
Maintains standing purchase orders and contracts service records
Submits payable documents for payment within deadlines
Reconciles procurement card purchase by agency deadline
Properly charges expenses to proper general ledger account

Valid Texas driver’s license with an acceptable driving record.
