Performs general secretarial and clerical office tasks. Duties are specific based on a particular assignment in a school or central office. This experienced level of clerical work involves responsibility for performing varied and moderately complex tasks including preparing and processing forms, records, correspondence, memoranda, documents, and reports. Work may involves frequent and responsible contacts with students, parents, the general public and the school system administrative and instructional staff. Work is performed under general supervision and employees are expected to exercise initiative and judgment in the timely execution of assignments.

Essential Duties & Responsibilities

1. Answers and screens telephone requests and complaints from parents, students, and Central offices.

2. Greet visitors and furnish information of a routine nature.

3. Enrolls new students. Keeps student records/files up-to-date. Withdraws student records and forwards same to new schools.

4. Schedule and copy materials for meetings.

5. Completes fall/spring kindergarten enrollment.

6. Prepares and maintains up-to-date office records of all students on class lists, student folders, card files, index cards, and attendance record/reports.

7. Receives and distributes messages to the appropriate staff. Makes telephone calls for staff at their request. Receives and screens visitors and telephone calls.

8. Types and distributes reports, letters, forms, lists, newsletters, memoranda, agenda, schedules, and/or other documents.

9. Operates and maintains standard office machines and equipment, such as facsimile (FAX) and duplicating copy equipment.

10. Receives, sorts, and distributes mail. Handles those items of a general nature.

11. Assists with the preparation of instructional requests, tests, and other such materials as assigned.

12. Maintains strict confidentiality with respect to handling student record/personal data.

13. Signs students in and out of school. Issues tardy passes and keeps absentee/tardy records.

14. Performs other duties as assigned.

  • High School Diploma or Equivalency Certificate.

  • One (1) year of recent general office experience performing work of a progressively
responsible nature "OR" any equivalent combination of education and experience.

Knowledge, Skills, and Abilities

1. Demonstrated proficiency with business software (e.g. Microsoft Office Suite-Word, Excel,
Outlook, and/or PowerPoint preferred). A minimum score on pre-employment assessment
is required
2. Good knowledge of modern office practices and procedures, bookkeeping, business
English, spelling and commercial arithmetic.

3. Ability to exercise initiative and good judgment in dealing with students, parents,
administrators, other employees and the general public.

4. Ability to exercise courtesy and good judgment in dealing with students, parents,
administrators, other employees and the general public.

5. Demonstrated ability to effectively work and communicate with diverse populations.

6. Ability to lift up to 20 lbs.

7. Successful completion of all required tests.
