This is a great opportunity to work in the Edwards Lifesciences Government Affairs office, located in Washington DC. Our team advocates for public policies that support our company’s business and healthcare mission. The Executive Assistant will be responsible for supporting political and policy operations and administration; the ideal candidate will have strong verbal and written communication skills, be extremely detail oriented, and possess strong critical thinking skills.

The Executive Assistant will be primarily responsible for providing administrative support to include, but not limited to:
Provide administrative support to Senior Director and VP to include: managing calendars, arranging travel, and processing expense reports
Provide administrative support to department to include: coordinate all department meetings, manage special projects, office supply orders, catering requests and other vendor requests as needed
Proactively coordinate all department meetings, help plan special events and manage special projects
Facilitate interview schedules for department positions
Manage government affairs and patient engagement budgets and work with finance group to assure monthly, quarterly, and annual budget targets are met, advise management of potential variances and propose course corrections as appropriate
Prepare and submit federal Political Action Committee and lobbying reporting filings in compliance with federal regulations, including assessing corporate activities and expenditures
Maintain PAC budget, event tracking spreadsheet and PAC software. This includes hand-entering data points (contributions, receipts, membership), general “maintenance,” data-lookups and outreach executions
Maintain the PAC website, e-mail distributions and clips
Interact professionally with all levels of Edwards employees, customers, and vendors
Create Microsoft Word documents, Excel spreadsheets, and PowerPoint presentations
Assist business partners with organization information and/or administrative needs
Help monitor healthcare and reimbursement public policy issues
Perform various ad hoc job-related duties and responsibilities as assigned


Education / Requirements / Qualifications:
High School diploma (or equivalent) required with six years of directly related support experience; OR a Bachelor's degree preferred with at least two years of related support experience
Preferred industry experience includes, but is not limited to, the following work environments: law firms, lobbying firms, consulting firms, government affairs, political/campaign finance, and corporations
Must have experience planning and executing meetings and events, including scheduling travel arrangements in compliance with existing policies and procedures
Experience scheduling and managing calendars of management/executives with attention to accuracy and detail
Experience processing documents such as checks, invoices, and expense reports
Familiarity of the legal requirements surrounding federal lobbying disclosure and political action committee management is a strong plus
Must be proficient in all MS Office software, (Excel, Word, PowerPoint)
Must have strong organizational skills, be detail-oriented, resourceful and able to multi-task and follow guidelines and protocol
Must have strong critical thinking skills and the ability to address and solve problems quickly
Must have professional demeanor and effective interpersonal and communication skills, including both written and verbal communication skills
Knowledge of website design and electronic documentation management a plus
Ability to handle confidential matters requiring discretion and sound judgment.
