SUMMARY OF POSITION:
The Intake Coordinator will assume responsibility for the registration and admissions process of all Agency clients. The Intake Coordinator will also be responsible for communicating information concerning client intake to the Clinical Administrator and staff, and other duties assigned by the Clinical Administrator.

PRIMARY DUTIES AND RESPONSIBILITIES:
The Intake Coordinator is responsible for answering calls concerning potential clients and providing information about the Agency and resources available to the potential clients, the family, or referring the individual or agency. The Intake Coordinator is also responsible for greeting incoming clients, recording their personal details, gathering medical histories, and obtaining any health insurance information they have. The Intake Coordinator is also responsible for assisting potential clients to register and obtain Medicaid or other insurance coverage to assist the individual to be able to obtain the care they need. The Intake Coordinator is also responsible for maintaining a census for the Agency identifying the number of available beds and projected dates for clients graduating or otherwise leaving the Agency and a waiting list and/or any information on incoming new or returning clients. The census and the waiting list will be disseminated on a weekly basis. The Intake Coordinator reports Directly to the Clinical Administrator.
Essential Functions
A. Answers phone calls from potential clients, their families, or referring agencies and provides information on the Agency and availability of beds and services;
B. Assists potential clients with registering and obtaining Medicaid or other healthcare coverage;
C. Welcomes all clients to the facility; completes all admissions paperwork and enters it into the EHR/EMR program;
D. Verifies medical insurance coverage and benefits for each client;
E. Schedules appointments for assessments, tests, or procedures necessary for all incoming clients;
F. Maintains census of current clients in the facility, expected dates of graduation of current clients, and available beds;
G. Maintains waiting list and list of clients scheduled to be admitted to the Agency;
H. Communicates with the Executive Director and the Clinical Director concerning the census and the waiting list; and
I. Performs other related duties as assigned.

B. Maintain absolute confidentiality of all information pertaining to clients, families, and staff and adhere to all HIPPA rules;
C. Displays a positive and professional image and attitude in all relationships with staff, clients, families, peers, and in the community:
D. Participates in committees and in the Quality Improvement Plan, Strategic Plan, etc. as requested;
E. Participate in safety programs, etc. as requested;
F. Encourage staff to make suggestions for improvement for all Agency operations.
POSITION REQUIREMENTS / QUALIFICATIONS:
A. High School Diploma or equivalent, Bachelor’s degree preferred;
B. A minimum of 1 year of work experience with Medicaid and insurance registration;
C. A minimum of 1 year of work experience in the field of substance abuse and/or mental health.
Other Requirements:
Applicants will be required to authorize a background check and submit to drug testing. Failure to do so will disqualify applicants for consideration for the position.
Work Environment:
The Intake Coordinator will work indoors on a computer in an office at the Agency answering phone calls, meeting with incoming clients and staff, and performing data entry. The job will require 5-6 hours per day sitting, 1-2 hours per day standing or walking, and 5-6 hours per day working on a computer or computer equipment. The position requires mental acuity; empathy; oral and written communication, respect for privacy, and computer competency on a regular basis. May occasionally work longer than 8 hours/day.
