Position Purpose:
The Project Coordinator is responsible for providing administrative and project management support to the Chief Data & Analytics Officer (CDAO), the GVP, Digital Marketing and their respective Leadership staff. This role acts as their business partner, department representative; as well as liaison to the business on programs, processes, and initiatives.

Responsibilities:
Has oversight for all ongoing department projects supporting the CDAO and GVP's agenda to ensure that the established milestones and measurement criteria are being met. Participates in department meetings to determine project needs, offers recommendations and creates and monitors deliverable timelines.
Main point of contact for logistical support for key team meetings, both on and off site. Plan, negotiate and execute company-wide org events from start to finish. Attend meetings with internal and external clients as needed.
Develop, edit and proof correspondence and presentation materials with senior management. Collects and prepares information for the use in presentations/meetings of executive staff, other employees, and non-company individuals. Maintain large volumes of confidential and highly sensitive material with the utmost integrity. Establish and maintain database of documents related to organization initiatives.
Take appropriate authorized action in the absence of the CDAO and GVP, to ensure that matters requiring attention are referred to and handled in a manner to minimize the effect of his/her absence. Handles high-level inquiries quickly, proactively, and follows-through on tasks to successful completion. Respond to requests for information, researching requests from various sources and department files. Review and organize vendor agreements and documents for CDAO and GVP's approval.
Maintains daily calendars of executives including the organization of meetings and video conferences. Handles time conflicts by understanding the priorities of the CDAO and GVP.
Make travel arrangements for leaders and related staff members as required.
Answer, screen and direct customer and incoming business telephone calls.
Provide support and assistance with expense reports and reimbursement for executives and department management as needed. Consolidate travel expenses, seminar requests, training/ education reimbursements and vacation requests and send to executive for approval. Also work with VP, Finance to manage processing of invoices and org budget.
Run point on survey releases, team events, collating org charts, managing seating plans and other Team related activities
Works cross-functional with other Senior Executives and their Teams to ensure fluid communication to achieve goals and respond to internal inquiries
Guides Administrative Assistant and disseminates information to ensure all administrative functions are covered

Qualifications:
H.S. Diploma or G.E.D. required or related experience; Associate/Bachelors' degree preferred.
5-7 Years working in a high-energy, demanding, multi-tasking environment; experience providing administrative and project support to one or more senior level positions
Must have solid MS Office skills including Word, Excel, PowerPoint, and Outlook.
Prior experience coordinating projects, setting priorities, meeting deadlines and following up on assignments.
Strong problem-solving skills and ability to exercise judgment
Self-starter with the ability to perform work at stringent levels of efficiency and under pressure.
Strong verbal and written communication skills to work effectively with co-workers, senior level internal and external contacts and representatives of public and private organizations to exchange and convey information; maintain confidentiality of privileged information obtained in the course of work.
Good negotiation skills
Basic mathematical computations, accounting and record keeping skills.
