Title: Administrative Assistant
Supervisor: Associate Director of Administration
Essential Job Functions:
Serve as Administrative Assistant to Associate Director of Administration and Director of Administration by assisting in preparation of Board packet, setting up filing systems, handle initial calls into Executive department, maintain records, greet visitors and fill out required forms. Provide day to day oversight of office operations. Keep department organized by ensuring necessary supplies and office equipment are available and in working order. Serve as confidential assistant to the Executive office. Coordinate staff meeting and disseminate information to staff.
Assist Associate Director of Administration / Director of Administration with accounting functions to include but not limited to, preparing deposits, accounts payable, filing of AP vouchers, time sheets and grant reconciliation reports. Also assist with Human Resources documentation (i.e. maintaining employee files).
Data entry, maintain accurate documentation and records in accordance with the Texas Department of Health
& Human Services and CASFV policies and procedures.
Prepare thank you letters for donors. Maintain donation driver’s schedule, conference room reservations and donation receipts. Collecting used cellular telephones and coordinate with Shelter Alliance.
Perform other duties as assigned. Evening and weekend work may be required. This is a non-exempt position that requires approval for work in excess of 40 hours per week.
Training and Experience:
Associate degree preferred. Two or more years in clerical, secretarial and accounting or bookkeeping experience is required. You must have excellent computer skills, with exceptional attention to detail. Data entry experience is preferred; computer proficiency in Microsoft applications. Excellent math skills, able to accurately type 40 words a minute and ten key by touch. You must have your own transportation, a valid
Texas driver’s license and current insurance.
Knowledge, Abilities and Skills:
Proficiency in QuickBooks accounting software
Proficiency in computer applications with concentration in excel worksheets
Enter data from source documents in timely manner.
Generate daily, weekly, bi-weekly, monthly, quarterly donor reports as requested.
Enter data and maintain a high accuracy rating in alpha/numeric mix.
Highly developed interpersonal skills.
Highly developed written and verbal communication skills.
Knowledge of working with volunteers, developing and organizing systems.
Excellent follow-through and proven skills.
Should be creative, articulate and diplomatic.
Ability to work independently as well as part of a team.
Willingness to work flexible and irregular hours during peak periods.
Bilingual – English-Spanish required
