The Massachusetts Department of Environmental Protection (MassDEP) is the state agency responsible for ensuring clean air and water, the safe management of toxics and hazards, the recycling of solid and hazardous wastes, the timely cleanup of hazardous waste sites and spills, and the preservation of wetlands and coastal resources.

MassDEP seeks applicants for the position of Program Coordinator II/Receptionist. This position will report to the MassDEP Health and Safety Officer within the Bureau of Administrative Services (BAS) and will be based in the Reception Area of the Boston Office located at One Winter Street, Boston, MA. Specific duties for this position include, but are not limited to, the following:

Daily opens the Reception Office during the normal working hours of 8:45 a.m. and 5:00 p.m., Monday through Friday;
Greet and assist visitors who enter MassDEP via the front desk;
Maintain security by processing visitors according to the MassDEP Visitor Policy (issuing temporary visitor passes and coordinating escorts with appropriate MassDEP staff);
Coordinate the receipt and the processing of all hand-delivered checks, including receipt preparation, completing receipt logs, securing checks in the safe, and coordinating pick-up by staff;
Respond to inquiries regarding MassDEP programs and activities by providing information by telephone or in person in order to direct them to appropriate agency contacts;
Maintain MassDEP information database by reviewing and updating contact information;
Operate a multi-line telephone system;
Provide assistance with the processing of the Commissioner's correspondence by scanning and entering the correspondence into a tracking system; and
Other related duties as assigned.

Preferred Qualifications and Work Experience:
Knowledge of the principles and practices of public relations
Knowledge of the methods and techniques used in the dissemination of information
Knowledge of general office procedures and telephone etiquette
Strong interpersonal and communications skills
Ability to gather information through observation and questioning individuals
Ability to express thoughts clearly and develop ideas in a logical manner
Ability to multi-task while remaining pleasant and professional
Proficiency with MS Office products (Word, Excel, Outlook, etc.)
Highly organized and the ability to pay close attention to detail and accuracy
Ability to understand, apply, and explain the laws, rules, regulations, policies, procedures, standards, and guidelines governing MassDEP operations
Punctuality and reliability are essential.

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:
I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the-required experience.*

II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.*

III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
