Three business days a week: Serves as principal administrative support person for the Executive Assistant to President – CEO / Chief of Staff for this non-profit organization, thereby performing a vitally important role. Must have a sincere interest in the values and ministry of Nashville Rescue Mission and must value attention to detail. The primary role of this position is to perform a variety of tasks ranging from routine administrative, clerical and office duties including oral and written communications, business contacts, calendar, meetings, travel and special projects. Receives direction from the Executive Assistant, and interacts with Senior Leadership Team, directors and members of staff to perform administrative functions.
Saturday & Sundays: Welcome visitors to the main lobby area. Monitor the facility for security issues and screens entry to the building. Answer inbound phone calls and transfer to appropriate personnel or offers information as needed. Uphold the Mission Statement of Faith and Code of Conduct at all times.
As Office Assistant:
Excellent skills in all Microsoft and Office Suite programs (Word, Excel, Power Point, Desktop Publishing).
Minimum typing speed of 50 wpm.
Experience in basic office management and organization.
Ability to work in fast paced environment.
Ability to drive, possesses a valid driver’s license and reliable personal transportation.
Self-starter and independent worker while maintaining a team approach to challenges.
Ability to communicate effectively and clearly both verbally and in writing.
Flexibility to complete non-routine assignment.
High degree of professional independence, initiative and self-discipline.
High School Diploma or equivalent; Bachelor’s degree preferred.
Two or more years of Administrative/Office Assistant experience desired.
Past experience with a nonprofit organization a plus.
Experience with a multi-line phone system
Ability to deal with difficult individuals on the phone and stay calm. Ability to diffuse tense situations and stay calm with difficult visitors.
Ability to take messages in a clear and concise manner and communicate that through written or email communication to the appropriate destination.
