POSITION: Front Office & HR Administrator

DEPARTMENT: Front Office

REPORTS TO: Practice Manager/Owner


Responsible for overview and supervision of patient in-flow and out-flow, patient education and collection of fees. Also responsible for supervision and management of front office systems (daily financial balancing, inventory control and scheduling).

The Human Resources component of the position will involve team development, time clock reporting, oversight of PTO program and staff accountability (within the scope of administrative functions).


1. Bachelors Degree or equivalent.
2. Two years’ experience in supervision of front office operations in a medical aesthetic or similarly based practice.

3. Human Resources certification preferred.

3. Comprehensive knowledge of Microsoft Word and Excel and EMR Systems (Nextech).
4. Able to work well in a supervisory capacity.
5. Possesses a wide-ranging fund of knowledge applicable to financial and clinical functions.
6. Demonstrable skills in motivating and training professional staff.


1. Patient-Provider Scheduling

  • Makes weekly schedules for front office.
  • Trains and supervises front office staff (check-in, check-out, and appointment secretary).
  • Makes monthly schedules for physicians; notifies staff of vacations, meetings, etc.
  • Maintains smooth operation of check-in, check-out, and appointmentbook.
  • Coordinates schedules and activities with clinical staff.

2. Telephone and Greeting

  • Answers telephone calls promptly.
  • Triages all calls to appropriate personnel.
  • Welcome patients.
  • Schedules patient and vendor appointments

3. Chart Administration

  • Makes certain that patient records are up-to-date.
  • Registers all patients and obtains proper consent for patients.

4. Billing and Financial

  • Patient billing and check-out.
  • Uploading clinic bills to
  • Management of petty cash.
  • Reconcile daily merchant services and cash drawer.
  • Manages and monitors loyal programs for Brilliant Distinctions, Aspire and Lasting Beauty Rewards.

5. Clinical Support

  • Support clinical staff as necessary.
  • Willingness to cross train in basic clinical skills (room patients, apply numbing cream, review post care)

6. Inventory Control

  • Monitors product inventory for retail sales.
  • Performs daily inventory evaluation for products sold.


Seeking employee for the following days:

Monday 8:30-5:30
Tuesday 10:30-8:30

Wednesday 8:30-5:30 (non-Saturday weeks)
Thursday 8:30-5:30

Friday 8:30-3:30

Saturday 8:30-3:30 ( 2 per month)

Job Types: Full-time, Commission

Salary: $44,000.00 to $56,000.00 /year
